**Minimum Requirements**:
- Relevant tertiary qualification
- Minimum of 5 years in office management, PA, senior administrative position.
- Superior writing and verbal skills in English and at least another South African language.
- Relationship building skills
- Excellent planning and organizing skills, attention to detail, Solutions-focus
- Advanced level of computer literacy and office communication technology tools.
- Ability to work under pressure and manage conflicting deadlines
- Professionalism in personal interactions (both externally and internally)
- Experience in travel arrangements
- Positive attitude
- Driver’s license
**Duties and Responsibilities**:
1) 6 Star Green Building Management: Oversee building management maintenance via service providers to maintain 6 Star Green Rating:
- sewage and greywater system
- drinking water
- airflow and temperature
- landscaping
- building management system
- lift management
- UPS maintenance
- electricity and water supply
- structural integrity
2) Operations management:
- Office space use management
- Kitchen management
- Develop and implement office policies, standards and procedures
- Budgeting and Administration: NetSuite Super User
- Managing suppliers and office supplies (stationery, tea/coffee/sugar/milk, cutlery, crockery etc.) including municipal accounts
- Managing storerooms
- Pool cars management
- Parking Management
- Minute taking as directed by Ops Lead
- Travel assistance
- IT Help Desk support (basic support)
- Travel assistance
- Reception and professional hosting management
- Health and Safety for all using the building (staff and guests)
- Low environmental impact footprint e.g., paper, electricity, water
3) Venue Use management
- Paid use of venues (events or office)
- Venue promotion translating into paid venue use
- Events/office visits planning and hosting (bringing staff and guests to the building and guiding them when they leave the building)
- Tenant Management (no tenants at present)
4) Reception Management
- Desk space is at reception:
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Notifies company personnel of visitor arrival.
- Maintains security and telecommunications system.
- Informs visitors by answering or referring inquiries.
- Directs visitors by maintaining employee and department directories.
- Maintains security by following procedures and monitoring logbook
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
- When not at the reception, the Security office to substitute for a short period away
5) Staff Supervision
- Receptionist (vacant)
- Office cleaning staff (outsourced)
- Security staff (outsourced): Inside and Outside
