**Descriptions**:

- **Production Planning**:

- Maintaining factory planning schedule.
- Coordinate and/or conduct weekly stock take of packed product.
- Update Excel “Weekly Production Planning” sheet with physical production stock.
- Receive orders directly from client and/or download from retail portal.
- Update weekly Production sheet with orders.
- Pull SGX logistics “stock on hand” report to determine the amounts of stock items to be distributed to warehouses.
- Keep production plan up to date.
- **Logistics Coordination**:

- Truck loading verifications.
- Liaise with drivers and chain store distribution.
- Arrangements regarding delivery vehicles.
- Compile delivery booking documents and inform client.
- Do order delivery bookings.
- Check delivery POD’s and submit on AS1.
- Liaise with transporters to schedule trucks for deliveries.
- Coordinate and/or reschedule as and when required due to delays / re-bookings.
- **Stock**:

- Purchasing of packing material.
- Pallet management.
- Conduct physical monthly stock take.
- Complete stock take documentation for record keeping and import to excel.
- Conduct stock take of finished goods.
- Schedule delivery of packaging materials.
- Maintain stock levels of Chep pallets and order as and when required.
- **Client Liaison**:

- Liaising with customers and processing orders.
- Online order collection from major customer portals.
- Confirm delivery dates with clients.
- Keeping customer up to date w.r.t. delivery dates.
- Receive, investigate and resolve delivery related queries.
- Receive claims from the clients and send to the Accountant.
- **Reporting**:

- Compile weekly and monthly report on Excel.
- Calculate and track variances between budget and actual sales.
- Send reporting information to Management every Monday and at month end.
- Pull and/or compile Qlikview reports and report as necessary.
- **General Administration**:

- Processing of invoices.
- Assist with general reception duties.
- Order and keep record of PPE for dispatch clerks.
- Act as Health & Safety Representative.
- Maintain forklift licences for dispatch employees and schedule renewal.
- Arrange service of electric stacker.
- **Internal Liaison**:

- Assist with administrative tasks as necessary.
- Manage sound interpersonal relationships with colleagues.
- Build positive, friendly and professional internal culture.

**Qualifications**:

- At least five years’ experience in a similar role within the FMCG environment
- Tertiary logistics diploma will be an advantage
- Excellent planning, organising, interpersonal and coordination skills
- Strong numerical aptitude
- Excellent communication skills (Afrikaans & English)
- Proven and strong administration skills
- Ability to work under pressure
- Good communications skills
- Proactive planning skills
