Senior Secretary/PA to Investment Expert

We are a leading financial services firm in Wellington, specializing in investment strategies, portfolio management, and financial consulting. Our team of experts provides exceptional service and valuable insights to clients in the ever-evolving world of finance. We are looking for an organized and proactive Senior Secretary to support our Investment Expert in his daily operations.
As the Senior Secretary to our Investment Expert, you will play a crucial role in managing the administrative and operational tasks that keep his portfolio running smoothly. Your ability to prioritize, manage time efficiently, and maintain discretion and professionalism will be essential in supporting the Investment Expert in delivering outstanding financial services.
Key Responsibilities:
- Administrative Support: Manage the calendar, schedule appointments, and coordinate meetings for the Investment Expert. Ensure all appointments and deadlines are met.
- Communication Management: Screen calls, emails, and other correspondence, responding on behalf of the Investment Expert when appropriate, and ensuring key communications are addressed promptly.
- Document Preparation: Draft, proofread, and format financial reports, presentations, and other investment-related documents. Ensure they are accurate and up to company standards.
- Client Liaison: Act as a primary point of contact for clients, investors, and stakeholders, scheduling meetings and managing communication as directed by the Investment Expert.
- Travel Coordination: Organize travel arrangements, including flights, accommodations, and itineraries, ensuring all travel logistics are seamless.
- Confidentiality: Handle sensitive information with the utmost discretion and professionalism, maintaining confidentiality at all times.
- Research & Reporting: Assist with gathering financial data, conducting market research, and preparing reports to support investment decisions.
- Team Collaboration: Work closely with other members of the team, assisting with ad hoc projects and supporting broader team objectives.
Requirements:
- Experience: Minimum of 5 years of experience as an executive assistant or secretary, preferably within the financial or investment industry.
- Organizational Skills: Excellent time management and organizational skills, with a strong ability to prioritize tasks and handle multiple responsibilities simultaneously.
- Communication: Strong written and verbal communication skills with a keen attention to detail.
- Discretion: Ability to handle sensitive and confidential information with professionalism and integrity.
- Tech-Savvy: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other office management software. Familiarity with Glacier financial software is a plus.
- Proactive: Ability to anticipate needs and act independently, taking initiative without constant direction.
- Education: A relevant qualification or certification is preferred.
