HR Admin Assistant

The HR duties involve a wide range of support activities inside the HR department, from coordinating meetings to maintaining the employee database to posting job ads. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.
Ultimately, you’ll assist the HR Manager to ensure the HR department is organized and operates smoothly to attract, hire and retain our employees.
**KEY SKILLS AND QUALITIES**
- 3-5 years HR Admin experience
- Identify and resolve issues in a timely manner
- Communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
- Prioritize and plan work activities as to use time efficiently
- Be organized, accurate, thorough, and able to monitor work for quality
- Be able to work autonomously and remain calm under pressure
- Well versed in MS Office Word, Excel, Outlook, etc.
**RESPONSIBILITIES**
- Take ownership of managing the HR functions and assist with day-to-day operations of the HR functions and duties
- Provide administrative support to Human Resources department
- Maintain HR documentation e.g., Staff files, Employment Equity, Leave forms, schedules, staffing, recruitment, training, grievances, performance evaluations, etc. (Hard and Soft copy)
- Ensure all documentation is uploaded to OneDrive for ease of access
- Follow the correct filing and renaming process
- Perform periodic audits of HR files and records
- Ensure that all required documents and staff information are collected and filed appropriately
- Coordinate HR projects (meetings, training, surveys etc.) and take minutes
- Deal with employee requests regarding human resources issues, rules, and regulations
- Follow correct Disciplinary procedures and action when needed
- Follow up with current Disciplinary Processes daily
- Keep track of the process and provide feedback on a timeous basis
- Escalate any issues to HR Manager for assistance
- Assist reps in the performance review process
- Schedule performance reviews in outlook
- Follow up and gather feedback
- Create summary reports of findings
- Keep track of fixed term contract expiry dates and request feedback from reps regarding their performance
- After receiving feedback, follow the termination process or permanent appointment process
- Assist HR Manager in training activities
- Ensure that training quality is up to standard
- Keep track of all training activities for ATR/ WSP purposes
- Follow any instructions received by management
- Ensure that the HR Manager is aware of your activities and instructions received from other managers
- Send weekly activity report to HR Manager to keep track of all HR related matters
**Salary**: R1.00 - R2.00 per month
**Experience**:
- Administrative: 5 years (required)
- Human Resources: 3 years (required)
- Employment Relations: 3 years (preferred)
