The Craft & Design Institute is recruiting a new position, a Delivery Support Unit Manager, to be based in Cape Town.
KEY PERFORMANCE AREAS:
- Manage the provision of administrative services to support the delivery of projects
- Manage and support project beneficiary and service provider recruitment across the portfolio
- Coordinate the administration of reporting to funders across the portfolio
- Manage the staffing and resourcing of the Delivery Support Unit
- Manage the budget of the Delivery Support Unit
- Ensure the timeous reporting on activities within the Delivery Support Unit
TASKS
**Provision of Administrative Services**
- Manage the provision of administrative services to support the delivery of projects
- Support the administrative staff across the portfolio
- Ensure that the activities of the administrative staff across the portfolio, are support efficiently and effectively by the Delivery Support Unit, by liaising with the managers of the projects around the support required by their administrative staff.
- Liaise with the COO/or the Project or Programme Managers across the portfolio around the submission dates for project reports and accompanying evidence
- Prepare a calendar with all reporting dates for the financial year, including internal submission dates to ensure efficient and timeous submission of reports to donors
- Collate all information received from projects as per reporting guidelines provided by donors
- Ensure the timeous submission of all reports and accompanying evidence as per instructions provided by donors
**Recruitment of Project Beneficiaries & Service Providers**
- Manage the recruitment and contracting of participants / beneficiaries of all projects in the portfolio
- Liaise with Managers across the portfolio around the criteria for recruiting of participants / beneficiaries to be recruited
- Liaise with the Communications Manager around the timelines for placing of advertisements etc. for the recruitment of participants / beneficiaries to be recruited Prepare all contracts to be signed between the participants/ beneficiaries and the project for which they are being recruited
- Ensure that all supporting documentation for contracts are obtained from participants / beneficiaries
- Ensure that any financial support required for recruited participants / beneficiaries is prepared and requested from the Finance Department
- Ensure that the initial compliance check of project beneficiaries is carried out and presented to relevant managers
- Manage the recruitment of service providers and contracting (technical expertise and mentos) across the portfolio
- Liaise with Managers across the portfolio around the Terms of Reference for the recruiting of service providers, as well as all other requirements (budget, starting time, contract period, reporting lines etc.) to be included in the Expression of Interest which will be advertised
- Submit the Expression of Interest on appropriate platforms
- Prepare the service provider contract between the selected service provider and the CDI, once a final selection has been made
- Ensure the timeous submission of the service providers invoices to CDI’s Finance Department
- Ensure that the initial compliance check of project beneficiaries is carried out and presented to relevant managersStaffing and Resources
- Manage the work programme of Unit’s staff
- Conduct performance reviews of Unit’s staff
- Manage the leave of Unit’s staff
- Ensure that the Delivery Support Unit is properly resourced
**Manage the Budget**:
- Manage the Unit’s budget against planned income and expenditure
**Reporting**
- Ensure that all quarterly and annual Unit reports are prepared and submitted timeously
- Prepare and submit any ad hoc Unit update reports as requested by the COO and/or the CEO
**General**
- Assist with any other activities within the organisation, within reason, as defined by the CDI Management
DECISION MAKING RESPONSIBLITY
- Responsible for decision making on day-to-day fulfillment of functions as per job description
CORE COMPETENCIES
Technical Knowledge: Qualified Creative Professional with a Tertiary degree/diploma in a Business Administration or Project Management and 5-10 years relevant work experience; project management and strategic planning experience; understanding of the creative process; experience of development issues; working knowledge of IP etc; ability to keep up with current developments and trends in craft and design sector and business administration
Communication: Culturally sensitive individual with strong interpersonal skills; ability to communicate appropriately with a diverse range of individuals/groups
Building Partnerships: Ability to identify strategic role players and partners and engage with them
Decision Making Ability to decide and act upon an appropriate course of action
Planning & Organising Developing vision; initiating action; establishing a course of action for self and others
