Shipping Supervisor

An exciting opportunity exists for a **Shipping Supervisor **at **SPITZ** in Bryanston, Johannesburg. The purpose of the role is to work closely with the Senior Financial Manager and Finance Director and the merchandise and warehouse teams to co-ordinate and manage the activities undertaken by the shipping department and to supervise the members of the shipping team.

**Key Performance Areas**:

- **
Ensuring the timely booking of shipments from suppliers & Supervising and managing the members of the shipping team to ensure they are performing their duties.**:

- Liaising between the merchandise team and suppliers and shipping agents to ensure the timely shipment of inventory
- Ensuring that containers are filled in line with benchmarks and managing under utilization
- Ensuring documentation is accurately completed and available to prevent possible delays at customers
- Constant communication with suppliers and shipping agents to ensure timely delivery to shipping agents
- Manage the team in terms of KPIs and ensure timely feedback on issues and area of improvement
- **
Keeping the merchandise team up to date regarding the status of shipments**:

- Coordinates reporting and weekly meetings with the merchandise team to ensure they are aware of where shipments are, estimated arrival dates and proactively communicate delays as soon as possible
- Liaise with suppliers and shipping agents to ensure any delays are known and push for all deliveries to be timely
- Work with BI to develop automated reporting

Review and sign off costings**:

- Review and sign off on costings of imported inventories
- Work with finance to ensure costings are signed off timeously
- Ensure merchandise team is aware of significant variances in costings when compared to estimates
- Ensure all paperwork is completed and is accurate for review by management and potentially auditors
- Review process and highlight possible areas for automation

Review and sign off of invoices for payment**:

- Review document and invoices and ensure all information is correct and accurate and sign off for payment.
Review the monthly forex forecasts to ensure accuracy and completeness of 12 month rolling forecast
- **
Perform and report on monthly analysis of shipping methods and shipping costs**:

- Implement monthly reporting and analysis of shipping costs and usage.
- Highlight areas of potential cost savings and where usage can be improved.
- Assist in managing relationship with shipping partners and suppliers.

Build relationships with the merchandise team and suppliers**:

- Develop open and clear lines of communication with the merchandise team.
- Develop a team that is service centric
- Develop relationships with suppliers and shipping agents
- Ensure staff are trained on the latest developments around shipping and related matters (duties, taxes etc)

Review monthly reconciliations of import accounts, GIT (goods in transit) and import vendors**:

- Review monthly reconciliations of GIT (goods in transit) and investigate any variances between freight forwarder report and SAP balances
- Review and sign off foreign vendor age analysis and follow up timeously on variances noted
- Ensure import accounts are cleared and any discrepancies identified, communicated and resolved timeously

Managing the imports of selected suppliers**:

- Ensure complete bookings for area of responsibility
- Ensure timeous costing of goods
- Ensure all invoices are submitted for signature and payment
- Check charges on forwarder invoice (accuracy)
- Effective resolution of queries within 36 hours
- Ensure Excon is prepared for every shipment
- Miro of shipping files
- Prepare & submit price claim and debit note for shortages
- Accurately follow duty refund process

Ad hoc requests from Other departments within the business**:

- Finance team should have a service centric mindset in order to assist the Business with any required information so that the Business isn't held up and can focus on making money.

**Minimum Requirements**:
**Experience**:

- 5 Years Import and Export experience

**Qualifications**:

- Matric
- Completed Bcom BA or National Certificate / Diploma
