Duties & Responsibilities**:

- ad-hoc when on site -Ensure that all contact lists and notices are updated around the building -Checking/supervising the cleanliness of entire office areas, printer areas, boardrooms, kitchens, pause areas and bathroom-ad-hoc when on site -Logging calls for breakdowns/repair work required around the building
- ad hoc when on site -Monitor the cleaners, pause area & other IFM personnel, and report any lack of service - ad-hoc when on site -Refer cleaners pause & bathroom area checklist has been accurately completed. Check time and action. Report if inaccurate information completed-ad-hoc when on site -Assist with correct operation or reporting of office equipment, telephones & IT related equipment breakdowns in boardrooms and around the offices
- ad hoc when on site -Control & checking of meeting room accessories handed out and has been returned-ad-hoc when on site o booking of video conferencing and associated boardroom as well as assisting with set-up of video conference equipment-ad-hock when on site -Assist with facilities support when functions are organized by other departments in auditorium or elsewhere - ad-hoc when on site -Assist with any ad-hoc requirements/projects as they arise within the RE department Supervisor Responsibilities: -Manage the pool car bookings -Driver supervision - Manage and supervise driver bookings, prepare log of driver deliveries daily with full details including mileage to and from destinations -Monitor fuel card usage for each vehicle used by drivers by: logging date, value and opening kms at fill-up. File petrol slips Check kms for each delivery and compare if matched to fuel consumption at every fill-up o update MV fleet spreadsheet monthly -Advise responsible resource at all locations outside of LM & Alrode 3 months in advance of expiring licenses and follow-up regularly that new license has been purchased before due date -Complete all forms required for license renewals and have signed by ABB proxy and submit completed pack to ABB resource responsible to purchase licenses -Forward list of all Licenses due for renewal at beginning of each quarter (for following 3 months) for LM & Alrode to ABB Proxy for approval. Service provider to arrange for purchasing of all licenses and claim back value of purchased licenses. SP to issue new license disks to relevant ABB Division/employee before expiry of current license -Obtain copy of new license form, file & update spreadsheet. -Driver service required on an ad-hoc basis with Code 8 Drivers License & PDP (Professional Driving Permit) for vehicles greater than 3.5 tons -Mail collection from the Post Office x every second week -Delivery services for documents/goods as required on ad hock basis -Ensuring that all deliveries and collections are effected on time -Responsible for vehicle maintenance, fuel purchases, incident reports and accident reports -Accurate fuel records to be kept and signed off by SP -Provide vehicle condition reports and other records that are requested from management -Co-ordinates the schedule for major or periodic maintenance with ABB management and staff to minimize service interruptions**

**Qualifications**:

- Matric / Grade 12 - Completed relevant Diploma/Degree or Certificate in Office Administration will be an advantage - Minimum 3 to 5 years’ experience
