Residence Manager

**How you'll role**
As the Residence Manager, you will work in a high-pressure environment and you will be involved in many aspects of the business, and essentially responsible for leading the residence staff in managing standards, costs and efficiencies of the facilities. The role includes:
- Manage facilities: quality management, housekeeping, security, health and safety, maintenance and environmental management
- Manage utilities: consumption, billing and environmental management
- Implement policies and procedures and standard operating procedures
- Manage staff: IR, overtime, motivation, etc.
- Be responsible for budgeting and expenditure control: operational, capital, procurement, profit and loss
- Manage contractors, suppliers and service providers: sourcing, negotiating and establishing and managing service level agreements (SLAs)
- Manage extra in-house business tenants (salons, canteens, etc.): sourcing, negotiating and establishing and managing SLAs
**What you'll do***
- Manage facilities - you'll be responsible for all facilities management at the residence, this entails:
- Ensure that quality standards are set and maintained equally at the residence to ensure a uniform way of doing things. It is required that periodic standards inspections are conducted and reports submitted, which staff can use to rectify shortcomings
- Implement housekeeping standards, policies and procedures
- Be responsible for stock control and general housekeeping cost control
- Determine the most efficient and best housekeeping practices
- Manage sanitation bin and pest control SLAs with service providers
- Implement security standards, policies and procedures
- Study incident investigations, and risk assessments, determine training requirements and strive for best practices and a safe and secure environment
- Submit incident reports and investigations to the Operations Director for review as and when they occur
- Determine the requirements for security systems, and manage service providers thereof
- Implement and manage the health and safety policy, procedures, and management system
- Study and investigate security, and incident reports as requested, and if required, conduct or assist with investigations
- Liaise with the maintenance manager on all maintenance issues and requirements
- Ensure lift and HVAC maintenance contracts are in place and SLAs are adhered to
- Ensure gardens are maintained, whether in-house or by outsourcing
- Manage transportation services
- Manage food and beverage services
- Manage utilities - further to facilities management, you'll be responsible for utility management:
- Monitor electrical and water consumption at all residences
- Implement energy-saving initiatives
- Coach staff on understanding and managing utility management
- Liaise closely with the Maintenance Manager and staff on maintaining heat pump systems and air cons
- Report on monthly consumption
- Be on top of municipal rates structures and aim to ensure the residence is on the best, yet correct, structure
- Deal with municipalities, and/or guide Duty Managers in resolving municipal bill problems
- Build good relationships with contacts within the municipality
- Source municipal consultants to resolve issues
- Assess monthly municipal bills, and take necessary action to resolve discrepancies
- Implement policies and procedures and standard operating procedures:
- Be responsible for implementing all operational-related policies and procedures
- Submit policies periodically for review
- Staff management - all residence staff will report to you. Amongst other activities you will be very involved with:
- Guide and assist residence staff and the Duty Manager who will continuously liaise with you in order to ultimately lead and grow the residence team
- Recruit new staff
- Conduct performance reviews on all staff
- Be responsible for all industrial relations responsibilities
- Determine the optimum staff levels, and staffing of residences (both new and existing residences)
- Monitor salaries versus budgets, paying attention to overtime costs and casual labour
- Assist HR with motivation initiatives
- Advise, assist, guide and coach residence staff on best practices
- Liaise with the HR Managers on all staffing matters
- Work closely with the Training & Development Specialist in determining skills gaps and training requirements, and develop training manuals
- Ensure that all legal and health and safety required training is identified and implemented
- Reports:
- Be responsible for reporting to the executives on the performance of the residence operations monthly, including staffing, security, health and safety, housekeeping, and utility
- Submit ad-hoc reports as required from time to time
