Marketing Assistant

Our client is a fruit company in China with its headquarters in Hong Kong. It manages trading, procurement, and marketing operations across the Asian region through its various subsidiary companies and has representative offices in several Asian countries.

They are seeking to appoint a Marketing Assistant for their South African office based in Bellville, Cape Town.

The Primary Responsibility of the Marketing Assistant would be to assist the Procurement team in South Africa through the whole Process of Procuring Fruit from Suppliers in South Africa to Service its Orders in China and Southeast Asia.

**Main duties**:

- Checking Sales Orders and Import Documents (Import Permits, Labels, Verification Orders) received from the market to ensure information is correct
- Updating the weekly Planning Sheet (Packed vs Ordered) to ensure that planning sessions are constructive and efficient
- Assist with Loading and creating Purchase Orders on Palbroker system
- Following up with Suppliers to check fulfillment of Purchase Orders and updating the team accordingly
- Sitting in on Conference Calls with markets and contributing with relevant information
- Providing Growers/ Suppliers with the necessary information required to pack orders
- Updating spreadsheets daily to ensure that information is live and up to date as possible
- Tracking arrival of shipments in the market (including Arrival Date, Gate Out at Arrival Port, Receipt at Customers Premises) and escalate any undue delays
- Track Quality Arrival Reports are received within time limits agreed with the suppliers and that the information contained in QC reports/Survey Reports (Photos, Temptale Charts) is correct
- Update weekly pricing Sheet with prices agreed with the different Suppliers per individual market and follow up on any queries
- Assist Procurement Team in checking that Commercial Invoices received from Suppliers are in line with information on the Purchase Orders
- Update the Claim Sheet per consignment and follow up with Procurement or Marketing Team regarding any outstanding information required to close the claim
- Track Payment Advice from the market to ensure growers are paid within Agreed Payment Terms and escalate any disputes
- At the end of a particular season, assist the Procurement and Marketing Teams in compiling a Debrief pack to highlight any successes and failures and in which the performance of the individual suppliers is tracked

**Requirements**:

- Grade 12
- A relevant degree or diploma will advantageous
- At least 3 years’ experience in the fruit export industry
- A basic understanding of the Fruit Export Logistical chain and able to distinguish between the Incoterms, Ex Worx, DIP, FOB and CIF Level
- Be a strong communicator and willing to speak to Growers and Markets daily
- Fluent in English (speaking and writing) and able to Understand Afrikaans
- A highly motivated individual, take pride in their work and able to operate on their own
- Able to prioritize and function well under pressure
- Strong Excel capabilities and organizational skills where attention to detail is critical
- Function well in a team environment to achieve the Business Objectives.
