**PURPOSE STATEMENT**
An EDI General Manager is an executive who has overall responsibility for managing both the revenue and cost elements of a company’s income statement to ensure the business unit is profitable and operates within the expected parameters. This role will also involve overseeing and managing the EDI operations and activities within the organisation.
**MAIN OUTPUTS AND RESPONSIBILITIES FOR THIS POSITION**
**1. Overall responsibility for the financial performance of the business.**
Ensuring that the business operates within the financial parameters as agreed in the annual operating and capital budget, with assistance from MD.
**2. Relationship management.**
- Sets appropriate standards, and puts in place action plans and control mechanisms to ensure the improvement of the company brand and profile through:Maintenance of up to date web site.
Execution against touch point strategy.
Effective manage and maintain a high level of PR.
Effective participation and maximize of Group Marketing Initiatives.
- Liaises regularly and appropriately (formally and informally) with major customers, suppliers, stakeholders, and shareholders.
- Keeps staff informed of key business and organizational learning, information, progress, problems, incidents, etc.
- Effectively negotiates with clients, suppliers, shareholders on terms, conditions, standards, deliverables, time limitations, expectations, etc.
- Defines the standard and puts in place appropriate and effective action plans and control mechanisms to ensure that the company remains and is seen to be customer centric.
**3. Corporate governance and internal control**.
- Puts in place appropriate action plans and control mechanisms to ensure that all compliance requirements / corporate governance standards are met.
- Ensures that organizational structure and energy are directed towards customer centric operations and towards achieving business results.
- Ensures alignment of functions with business strategy.
- Ensures that individual and collective competencies are leveraged optimally.
- Performs various duties around approval of expenditure, signing of contracts, analysis, reporting, etc.
- Developing and maintaining documentation, procedures, and guidelines for EDI processes, data mapping, and trading partner requirements. Conducting training sessions for internal stakeholders on EDI best practices and protocols.
- Ensuring the security and confidentiality of EDI data by implementing appropriate security measures, such as encryption, access controls, and data privacy practices, in compliance with relevant regulations (e.g., POPPI).
**4. Leadership and motivation and coaching of staff**.
- Puts in place action plans and control mechanisms to ensure that all staff are aware of and aligned with the company vision, standards, targets and business plans.
- Ensure that functional strategies are also aligned with the business plan.
- Ensure that all staff are set clear, high but achievable performance standards.
- Ensure that performance obstacles are identified and effectively addressed without delay.
- Puts in place action plans and control mechanisms to create and maintain a healthy organizational culture and climate. Attends to climate / culture problems without delay.
**5. Maintenance and continuous improvement in quality of products and services**.
- Ensure product development is aligned to market needs.
- Ensuring growth in revenue.
- Ensuring that all software development is thoroughly testes and bug free before roll — out.
- Ensuring effective and appropriate development, support and technical resources are in place.
- Appropriate collaboration with customers and suppliers.
- Monitoring the performance of EDI systems and processes, including transaction volumes, error rates, and response times, and identifying areas for improvement or optimisation to enhance efficiency and reliability.
- Identifying and resolving EDI-related issues, such as data transmission failures, mapping errors, or data quality problems, by coordinating with internal teams, trading partners, and EDI service providers.
- Leading EDI-related projects, such as system upgrades, new trading partner onboarding, or process improvements, by defining project scope, coordinating resources, and ensuring timely delivery.
- Collaborating with IT teams to schedule and perform system maintenance activities, including software upgrades, patches, and system backups, to ensure the availability and security of EDI systems.
**6. Annual strategy**
- Strategy Development: Developing and implementing strategic plans and initiatives for EDI systems and processes to align with the organization's objectives and meet customer needs.
**7. Innovation and development of new revenue streams.**
- Development of new revenue generating concepts and ideas for clients.
- Development of new mechanisms and media types to capitalize on existing intellectual property.
