Job Introduction
G4S Secure Solutions (SA), a leading provider of integrated security management solutions, has a vacancy for an ICT (Information And Communications Technology) Administrator based at our operations in Head Office Centurion, Reporting to the IT Manager.
The successful incumbent is a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which the ICT Administrator facilities management plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.
Main Responsibilities
**Main Purpose of Position**
The position will perform day to day administration tasks required for the Information Technology (IT) department and assist in the asset management and procurement processes for the whole company.
**Effective administration of IT Invoices and Procurement process.**
- Consolidation of monthly invoices received
- Manage procurement process from the IT Department, including the tracking, follow up and feedback on deliveries and items ordered
- Follow up with 3rd party vendors with regards to procurement, and escalate as required.
- Vendor and product analysis - 1st line
- General administration relating to filing, etc.
**Effective SLA Administration**
- Process any documentation with regards to SLA contracts
- Maintain SLA contract database
- Follow up on SLA requirements and provide feedback as needed
**Administrate and control an effective communications function**
- Maintain the Vodacom EVB & APN databases through monthly spend analysis reporting to the Finance Executive for all business units.
- Manage office equipment contracts (Printers, Scanners etc) and monthly report on billing
- Ensure monthly billing received, paid and allocated
- Communicate the product and service requirements to potential suppliers
- Conducting supplier analysis to ensure cost effectiveness
- Ensure quality assurance processes exist per key supplier
- Implement and maintain standardised maintenance services for communications assets
- Implement all new requirements in terms of IT related start-ups of new contracts
- Analyse and explain major variances actual to budget on a monthly basis
- Ensure expense mandates follow audit procedures
**Effective administration and management of IT office**
- General Ad Hoc administration
- Coordinate and arrange all relevant meetings and workshops
- Control filing of documentation
- Handle all incoming and outgoing mail/courier services
- Switchboard for IT Department
**Health and Safety**
- Participate in the design/ development/ review/ implementation and monitoring of the branch/region/national safety plans for each year.
- Participate in safety forums created by company for example safety meetings and safety talks
- Report all safety incidents to the relevant people
- Discuss all safety incidents on all levels
- Follow-up on any activities assigned through safety meeting/committee/representative/management
- Attend safety education and refresher programmes
- Comply with safety policies and procedures at workplace
- Distribute safety information as and when required
- Wear protective clothing all the time
**Qualification And Experience**
- Grade 12
- Diploma/Degree in Information Communication Technology Advantageous
- 5 years Systems Administration
- 2-3 years of administration is essential in this role.
