**The Role**
The Site Manager is responsible for overseeing the daily operations of a site (C-store and/or forecourt), ensuring it runs smoothly and effectively. Duties include motivating teams, creating business strategies, developing promotional material, training new staff and overseeing daily site operations to ensure profitability. As the Site Manager, you will manage the operational and organizational standards of the site. Your duties will include undertaking administrative tasks, monitoring inventory levels, and ensuring processes and procedures are followed.
You are expected to monitor and improve customer satisfaction, meet monthly sales goals and control expenses. In addition to being an excellent communicator, you should also demonstrate outstanding leadership and interpersonal skills. You will be expected to be professional and customer service-oriented under all circumstances, and operate within guidelines stipulated in the Business Operations Manual. You will be required to understand Millat Convenience goals and strategy, alongside Franchisor regulation, and act accordingly.
**Responsibilities**:
- Sales & Stock_
- Extract daily, weekly and monthly reports, aligned to the Ops Manual
- Collect and analyse sales levels of products and services in order to ensure optimum customer satisfaction
- Monitor customer feedback, price trends, and the efficiency of sales methods
- Plan, monitor and report on the sales and site expense budgets
- Schedule and direct the daily activities across the site
- Maximise sales revenues through identifying possible promotions, cross-selling, upselling or promotion of additional services
- Ensure that sale prices and promotions are correctly processed
- Maintain stock levels through daily stock level monitoring and ordering from relevant suppliers
- Work closely together with visual display staff to decide how items should be displayed, in order to maximise customer interest and product sales, in line with Millat Convenience planogram layout and design
- Ensure correct goods labelling
- Adhere to organisational or department-specific standards and guidelines
- Execute maintenance and disposal of expired stock within prescribed timelines
- Conduct daily, weekly and monthly stock counts, in line with the Ops Manual, to monitor stock loss
- Implement stock-loss prevention measures
- Kitchen_
- Ensure food safety standards are maintained, in line with regulated authorities and legislation
- Monitor temperature control across the kitchen
- Maintain compliance to food regulation
- Ensure staff scheduled in the kitchen have passed required food and kitchen standards training
- Fuel_
- Perform fuel stock reconciliation, in accordance with the Ops Manual
- Enforce fuel storage regulations, in accordance with governmental and environmental policies and regulations
- Oversee fuel deliveries to service station
- Perform calibration of forecourt equipment in accordance with manufacturer guidelines
- Finance & Administration_
- Submit reports on time, as required by the Business
- Maintain record filing for all site documentation, in line with SOP manual
- Ensure timeous processing of required information across the site
- Reconcile cashier takings
- Allocate payments
- Monitor and action wet stock variances
- Investigate and action debtor balances
- Customer Service _
- Ensure customer focus
- Build relationships with customers in order to ensure satisfaction and fidelity by providing accurate and friendly advice and support, delivering quality products and services and by supplying after-sales information and service
- Ensure all employees are providing excellent customer service in accordance to company policy
- Monitor and measure how an employee undertakes their responsibilities and how well these activities are executed, in line with Business standards
- Staffing_
- Maintain records for site staff
- Manage employees and subordinates
- Ensure staff training for all site staff is relevant and training matrices are updated
- Identify and coordinate succession plans for staff and self
- Undertake disciplinary action required, in accordance with Millat guidelines and South African regulation
- Conduct quarterly performance evaluations for all site staff
- Maximise employee performance and contribution
- Schedule staff work and activities
- Motivate and direct employees to meet the company objectives
- Ensure all activities are conducted in accordance with Millat policies and processes
- Health & Safety_
- Ensure safety across the site - personal & environment
- Conduct fire and safety drills
- Ensure legislated health, safety and emergency compliance across the site
- Maintain Health and Safety files
- Conduct and minute health and safety staff meetings
- Conduct alarm tests, maintain record thereof
- General_
- Submit insurance claims
- Conduct system backups where necessary
- Maintain repairs and maintenance on site, structure and equipment - report to Facilities and Main
