German Travel Documentation Specialist

We’re looking for an experienced and dynamic German Travel Documentation Specialist to join our thriving tour operator business, specifically our Sales Support Team.
As the German Travel Documentation Specialist for our tour operator business, you will be at the forefront of shaping our travel offerings through Serving as the primary point of contact for consultants. Your ability to assist guests with making reservations, arranging transportation and addressing other types of special requests will directly impact our competitiveness, profitability, and the overall quality of the travel experiences we provide..
Your multifaceted expertise in operations, client experience, supplier engagements, and communication and reporting ensures a holistic approach to manage top client experience and drive business success. By providing comprehensive administrative support to our Travel Consultants, you play a pivotal role in maintaining efficiency and consistency throughout the client’s journey.
Your contributions across these key performance areas and reporting requirements will be vital in achieving our organisational goals and further establishing our tour operator business as a leader in the industry.
Description
As a German Travel Documentation Specialist your responsibilities will include, but will not be limited to:

- Supporting Sales consultants with all administrative duties relating to clients travel documentation
- Create accurate travel documentation for clients by:

- Ensuring that all necessary documentation is in individual client files
- Contacting sales consultants for information which is unclear/missing
- Logging files onto a work register
- Extracting documents from reservation systems and running relevant macros
- Ensuring that information pulled from systems are correct
- Work directly with the Concierge Manager to resolve documentation issues which impact clients experiences.
- Customer service-related responsibilities and perform other office duties as assigned which includes but not limited to:

- Checking that there is logic in itineraries and bringing incorrect information to the relevant manager’s/consultants attention
- Checking and correcting client transportation arrangements with times, supplier images, packing lists and contact details.
- Report discrepancies when identified
- Sourcing directions, maps, images and descriptions if these were not successfully pulled through from our systems
- Working closely with suppliers to ensure that best suitable routing is selected to offer clients an enhanced experience.
- Work with our rates team to resolve rates-related tasks and communicate with consultants
- Log all required tickets relating to rates and product
- Timeous turnaround time (Sales Consultant request to be actioned within 24hrs)

- Ensure Concierge dashboard is updated and reporting done with Concierge Manager

**Requirements**:
**Our ideal German Travel Documentation Specialist will possess**:

- A National Senior Certificate/Matric
- 2 years of experience in a Travel Documents role in a Tour Operator Environment
- Based in Cape Town
- Excellent speaking and writing in the German language.
- Great communication skills
- Willingness and drive to learn
- Excellent problem-solving skills
- Ability to work in a fast-paced, deadline-driven environment

**Not essential but advantageous**:

- Degree/Diploma in Tourism
