Job Title: Accounts Payable Specialist (AP Automation)

Location: Pietermaritzburg, KZN

**Job Description**:
Office Beacon South Africa is seeking a highly skilled and detail-oriented Accounts

Payable Specialist with expertise in working with AP automation software. As a crucial

member of our finance team, you will play a key role in ensuring the accuracy,

efficiency, and timely processing of accounts payable transactions.

**Responsibilities**:
1. Utilize AP Automation Software:
Leverage expertise in AP automation tools to streamline and optimize the accounts

payable process.

Work proficiently with the software to automate invoice processing, approval workflows,

and payment disbursement.

2. Invoice Processing:
Manage the end-to-end processing of vendor invoices through the AP automation

system.

Verify accuracy, completeness, and compliance with company policies before initiating

approval workflows.

3. Vendor Communication:
Communicate effectively with vendors to address inquiries, resolve discrepancies, and

ensure timely resolution of issues.

Collaborate with vendors to enhance electronic data interchange (EDI) processes.

4. Payment Processing:
Collaborate with the finance team to schedule and execute payment runs using AP

automation software.

Monitor payment deadlines to take advantage of early payment discounts and avoid

late fees.

5. Reconciliation and Reporting:
Reconcile accounts payable transactions to ensure accuracy and completeness.

Generate reports using the AP automation system to provide insights into key financial

metrics.

6. Compliance and Documentation:
Ensure compliance with company policies, accounting standards, and regulatory

requirements.

Maintain organized and accurate documentation of accounts payable records.

7. Continuous Improvement:
Identify opportunities for process improvement within the accounts payable function and

propose solutions.

Stay abreast of industry trends and advancements in AP automation technology to

enhance efficiency.

Qualifications:

- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience as an Accounts Payable Specialist, with a focus on AP automation.
- Familiarity with leading AP automation software and tools.
- Strong understanding of accounting principles and financial processes.
- Excellent attention to detail and accuracy in processing transactions.
- Effective communication skills for vendor interactions and internal collaboration.
- Ability to work independently and meet deadlines in a fast-paced environment.
