- As a Payroll Specialist, you will be responsible for the following activities:
**Administration & Payroll Activities**
Implementation of full end to end process for payroll including third parties (medical aid, pension & provident fund contributions) leave administration, expense claims, trip sheets, travel and will include the following responsibilities:
- To process monthly payroll for 4 Countries and full or partial processing of third party and expat payments/contributions for 9 entities
- To process new hires and terminations and transfers, relocations on the SAP and supporting HRIS systems
- To ensure efficient distribution of payslips to staff
- To provide payroll information by responding to internal /external questions and requests under the direction of hierarchy
- To provide backup to the Payroll Manager
- To update HR & payroll records including changes
- To assess, capture and process expense claims on the payroll system
- To capture monthly leave balances and records and trouble shoot any related problems on leave management
- To review payroll discrepancies, determine problems areas and initiate adjustments or recommend actions to the Payroll Manager.
- To participate in the monthly, quarterly and annual payroll reconciliation.
- To conduct benefit orientations and other benefit training as required.
- To process enrolments, changes and terminations to benefit programmes or funds / third benefit institutions
- To assist employees with payroll/benefits claims, queries / questions / concerns.
- To administer statutory deductions such as garnishee orders, etc.
- To administer day-to-day transactions and process related matters.
- To undertake filing activities to update staff (personal) files.
- To manage the Employee Share Scheme payments and special and exceptional bonuses.
- To recover personal loans
- To manage exception reporting based on variance methodology to ensure that all changes have been approved and validated
- To initiate monthly cash requests from treasury to cover payroll run,per Country for all payroll payments
- To initiate sign off of monthly audit files as per items noted on the checklist
- To process statutory and benefit contributions and ensure that the payments and schedules are submitted as per SLA and legislation
- To process annual and biannual statutory reconciliation as prescribed by SARS (easyFile, efiling, Ufile), SRA, NLR and BURS
- To comply to annual, monthly, and daily payroll calendar deadlines and ensure that all deadlines are met
- To comply to Company Policies and Procedures
- To process annual increases and bonuses, including payroll configuration
- To comply to weekly and monthly payroll controls
- To process Disability and Risk administration (GLA, PHI and dread disease)
- To ensure master data accuracy both on SAP and Personnel files
- To ensure Record Retention as per company policy as well as in country legislation
- To ensure audit readiness on a monthly basis
- To monitor long service awards and ensure accurate compensation
- To provide supporting documentation for all expatriate recharge requirements
- To calculate correct fringe benefit tax calculations for all employees and ensure submission of relevant e-filing tax submissions fort South Africa, Namibia, Botswana and Swaziland as per Country requirements
- To ensure fleet details are maintained on SAP for fringe benefit tax
- To ensure all tax and variable tables in SAP are updated as per legislative and other changes.**Records**
To create new employee records in database and ensure their accuracy on the SAP TL system
- To receive and store employment contract information and ensure that it is classified and stored correctly.**Ad-hoc Projects**
Assist in departmental projects as assigned by the Head of Department including Share Scheme roll out, employee information updates, new SAP solutions or upgrades and HRIS changes and evolutions
**Context and environment**
- Organisational: continual evolution of organizational design requires fluid adaptation of systems and processes. In the context of transition to New Energies and increasing cross functionality, rapid adaption of Human Resource framework and systems is required to ensure alignment to Organizational strategy followed. Culture: to maintain an administrative function that is proactive, adaptive to environment and desirous for continuous improvement and exceptional customer service across the board.- As a As a Payroll Specialist, ideally you will possess the following:
- A post high school qualification. A diploma in administration or payroll administration or equivalent preferable or 5 years Payroll Specialist/management experience.
- At least two (2) years experience in payroll administration.
- Excellent computer skills in the Microsoft Windows environment.
- Knowledge of SAP TL HR/PY module/s would strongly advantageous.
