We are seeking a skilled **Project Support (PMO) Analyst** to join our team and contribute to an ongoing project using Smartsheet in **Johannesburg or Durban (Remote).**
**Responsibilities**:
- Assist the PMO Lead in managing a large-scale program, ensuring smooth coordination and support across multiple areas.
- Create and maintain migration schedules, working closely with global migration teams to ensure accuracy and alignment.
- Develop, track, forecast, and report on migration activities for senior management, ensuring up-to-date information is available.
- Manage and perform basic administration of the migration tracking tool (ServiceNow module).
- Support updates to program communication templates and presentation materials.
- Assist in tracking and managing risks and issues using Smartsheet, ensuring proactive resolution.
- Conduct quarterly retrospectives with the global project team to review progress and identify areas for improvement.
- Support updates to technical documentation, ensuring clarity and alignment with program goals.
- Provide regular status reports through the Portfolio Management system to ensure accurate and timely reporting.
- Collaborate with Project Leads and Managers on all PMO-related tasks, ensuring projects remain on track.
- Coordinate project processes, including estimations, proposals, financial tracking, and reporting.
- Prepare financial reports and presentations, delivering insights to stakeholders.
- Assist Managers and Project Leads with project documentation, ensuring compliance with standards.
- Ensure the department adheres to governance standards and the requirements of the PSO department.
- Collaborate with external clients, providing assistance and maintaining effective working relationships.
- Update policies and processes to reflect best practices and evolving requirements.
- Provide guidance to Project Managers on internal offer processes, ensuring consistency.
- Oversee quality assurance, ensuring project deliverables meet required standards.
- Ensure compliance with Project Management Office (PMO) standards, guidelines, and governance rules.
Qualifications:
- A Bachelor’s Degree in Computer Science, Information Systems, or another related field.
- PMO certification (e.g., PMP, PRINCE2 Foundation) or Scrum Master qualification a plus.
Essential skills:
- Proficiency in project management tools (e.g., MS Project, Jira, Smartsheet).
- Service Now skills a plus.
- Strong analytical skills with attention to detail.
- Excellent communication and interpersonal skills.
- Excellent organisational skills.
- Comfortable preparing information for higher levels of management.
- Ability to work under pressure and manage multiple priorities.
- Understanding of project lifecycle and key project management methodologies (e.g., Agile, Waterfall).
**Experience**:
- Basic project management/ project planner experience required.
- Experience with a previous large-scale Windows or equivalent migration project a plus.
- Experience with Service Now and/or Smartsheets a plus.
