Tsebo Facilities Solution is looking for a Facilities Assistant who will be responsible to ensure quality standards and processes are adhered to on an ongoing basis in a manner that achieves the objectives of EY by assisting with Office and Rooms set up /break down ,collection and delivery of EY staff to and from various zoned destinations, as dictated by the client in accordance with the master service agreement.

**Duties & Responsibilities**:
**Operational Delivery**:

- Ensure that all trip sheets are approved by an EY partner and verification has been done on who is being transported in the shuttles / company vehicle.
- Ensure that costs per zone are approved by the relevant engagement code
- Deliver to and collect EY Partners and Exco members from businesses
- Confirm deliveries and collections by way of a log book
- Maintain vehicle in good order, including weekly check-up and fix of minor problems before they become irreparable.
- Maintain the cleanliness of the vehicle at all times
- Plan which route to take to deliver goods and people in the most efficient way
- Be a cautious and courteous driver of the EY branded vehicle
- Be mindful of the EY corporate image given to other road users
- Ensure that you are:

- Punctual
- Reliable
- Honest
- Have excellent area knowledge
- Assist with mailroom Duties and courier work as required
- Report client feedback to the TFS Call Centre and revert to clients and visitors with the resolution
- Escalate complaints to your Manager when necessary
- Assist with meeting room set ups & catering requirement, as required by your manager
- Assist with daily inspection to ensure that all chairs are in place, meeting rooms are clean, and cables are tidy
- Assist with testing of AV and VC equipment where needed
- Assist with ensuring water bottles are refreshed regularly throughout the day and that clean glasses are available at all times
- Assist with ensuring that all white boards are cleaned, white board markers are working well and that an eraser is available
- Assist with signing Condeco panels in and out as and when required
- Assist with ensuring that rooms are cleared and tidied after each meeting
- Assist with ensuring that tables are cleared, and chairs are aligned after each meeting
- Report cleaning issues to the cleaning team on duty in your area
- Report and hand in any lost property found in meeting rooms to security

**Customer Focus**:

- Work with teams to develop and maintain a customer-focused attitude toward activities, concentrating on those that most strongly contribute toward improving customer lifetime value
- Interact with client to provide and process information in response to inquiries, concerns and requests about products and services
- Conduct client satisfaction surveys to ensure clients are satisfied with the products and services
- Keep up to date with business developments and strategic objectives within the environment
- Provide advice on general changes and compliance within the workplace management framework when required
- Work with processes and procedures in such a way that operational efficiencies and performance are enhanced
- Attend to and resolve all customer queries timeously or escalate when necessary
- Follow up and follow through on all escalated queries timeously
- Manage conflict

**Reporting**:

- Prepare all daily /weekly/monthly reporting within set timeframes for submission to relevant parties.

- Undertake such other responsibilities as directed by Management that will drive sustainability
- Work in a flexible way when the occasion arises so that tasks, which are not specifically covered in the job description, are undertaken

- Adhere to the TFS’s Safety, Health, Environmental and Quality (SHEQ) Management System’s Policies & Procedures as applicable to this position
