**Admin Duties/Tasks**
**Administrative Support**
- Manage correspondence
- Handle incoming and outgoing communications
- Coordinate and schedule meetings, conferences and appointments for management and other team members
- Prepare meeting agendas, take minutes and distribute as required
- Gather data
- Compile information and prepare reports on activities, financial performance, client statistics and other relevant metrics
- Ensure accuracy and adherence to reporting deadlines
- Maintain accurate and up to date records and databases related to the operations, including client information, transactions and regulatory documents.
- Ensure proper filing and organization of physical and electronic records
**Document Management**
- Establish and maintain efficient systems for document filing, storage and retrieval
- Ensure proper categorization, labeling and archiving of physical and electronic documents to facilitate easy access and compliance with regulatory requirements.
- Verify the accuracy and completeness of documents, forms, contracts and other paperwork related to administration.
- Identify and rectify any discrepancies or errors
- Adhere to record retention policies and ensure compliance with legal and regulatory obligations regarding document retention and disposal
- Safeguard confidential and sensitive information
**Secretariat functions**
- Provide secretariat and administrative support to the Board of Trustees and its subcommittees.
- Coordinate logístical arrangements.
- Compile agenda and prepare accurate minutes.
- Ensure that minutes are signed off in accordance with legislative requirements.
- Ensure safe-keeping of statutory documents.
- Follow up on action items and ensure that decisions are implemented.
- Ensure that relevant documents are prepared and distributed timeously.
- Prepare / maintain the record of the matters arising.
**Training and Development**
- Identify, plan, and monitor annual staff training (mandatory and skills related).
- Ensure all mandatory OHSA training is up to date.
- Prepare and submit Annual WSP and ATR Reports.
- Ensuring the annual training is in line with the skills plan
**Internship Programme**
- Liaising with SETA regarding the internship Programme
- Recruitment, Induction of learners for the internship Programme
- Preparing and submission of monthly and quarterly Reports to SETA for disbursement
**Job Types**: Full-time, Temporary
**Salary**: R30,000.00 per month
**Experience**:
- Administrative office procedures, practices and equipment: 3 years (required)
