Commission can earn up to R28 000 per month
Position Summary: Responsible for selling the service offering to potential customers.
The Sales and CRM Representative takes calls from customers, deals with all enquiries, may conduct sales calls to customer premises and is responsible for compiling and sending out quotes. They are also responsible for ensuring that customer service standards are maintained and to serve customers in a professional manner in accordance with standards. He / she must be knowledgeable about the products and services he / she is selling and attempt to accurately gauge the customer’s needs and requirements in order to accurately quote. Furthermore, he / she is required book jobs and ensure that the logistics in this regard are handled efficiently.
Tasks, Duties and Responsibilities:
1. Housekeeping
- Ensure the office and work area is neat and clean at the start of and during the shift
- Ensure dustbins are emptied regularly and are not allowed to fill to overflowing during the course of the shift
- Make sure that the required stationery is available
- Ensure that all required equipment is in proper working order and is clean
2. Customer Service and Relationship Management
- Take calls from customers and deal with enquiries pertaining to products and services offering
- Identify and understand customer needs and draft / send quotes to customers
- Respond to customer complaints and disputes as per procedure in the Operations Manual
- Contact all customers telephonically after job completion and enquire as to the customer satisfaction with service and ask for comments (each Customer Collection Form and Customer Re-delivery and Relocation Form per day must be called - self empty, self-store, (they come into the facility) redelivery, collection jobs (we collect or redeliver the units to them)).
3. Administration and Procedures
- Manage all logístical issues or problems as they arise and attempt to resolve in shortest possible turn-around times
- Sales (Collections and self-store)
- Quote customer on Panda
- Follow up on quotes
- Coordinate all jobs for the week / day and book jobs
- Prepare daily sales summary and call recording document on Sitelink
- Load the customer list
- Count and reconcile stock on a weekly basisand update the stock record
- Ensure the correct type and quantity of stock goes out for each job
- Complete the movement schedule on Sitelink and prepare reconciliations
- Prepare reconciliation for monthly “repeatings”on Sitelink
- Check and approve all customer invoices created by the Administration and Finance Assistant / Clerk prior to invoices being sent to customers
- Instruct Administration and Finance Assistant / Clerk on raising of credit notes
4. Filing
- Ensure that all quotes are correctly saved / filed
- Ensure that all customer feedback forms are completed and correctly files / retained for quality control and risk management procedures
- Make sure that adequate written records of all correspondence with customers is maintained
- Be responsible for all files and assist with all paperwork
5. Effective Risk Management
- Ensure all quotes are accurate and include all costings as discussed with the customer before sending out
- Check to ensure that all customer invoices and credit notes etc. have been accurately captured and processed being sent out to customers
- Ensure all documentation is correct and retained on file
- Ensure adherence to security procedures
- Ensure housekeeping is maintained at the required standard
- Ensure all staff records are up to date and accurate
6. Health and Safety
- Maintain business assets effectively and to required legal and safety standards
- Maintain a safe and clean facility and work area
- Ensure that safety procedures are adhered to
- Continuously endeavour to provide a safe work environment for fellow staff and customers in the facility
- Wear the relevant personal protective equipment or clothing items as may be required by management with regards to health and safety
- Implement all health and safety initiatives as per franchisee or safety representative instructions
- Report unsafe situations, behaviour or areas to the franchisee or safety representative
7. Additional Responsibilities
- May be required to fulfil the duties of receptionist, answering the telephone, transferring calls, taking messages etc.
- Assist other departments where necessary
- Be aware of all visitors and customers coming into the facility and greet all visitors in a professional but friendly manner
The responsibilities detailed above must also be adhered to in conjunction with the policies and procedures detailed in operations manual, as well as all applicable rules, procedures and requirements in the contract of employment.
