Clearing and Forwarding Controller

My client, a specialised logistics and freight company is seeking to employ a Clearing and Forwarding Controller. The purpose of this role is to deliver a complete and accurate set of documents by controlling and managing internal and control external processes to meet the clients documentation needs with no exceptions while still adhering to the company.

**Purpose**: To deliver a complete and accurate set of documents by controlling and managing internal and control external processes to meet the clients documentation needs with no exceptions while still adhering to the company

**Knowledge**:

- Applicable understanding of effective and efficient Logistics Solutions
- Applicable knowledge of fruit industry and shipping line activities
- Development and design of measures, process and procedure
- Understanding the importance and purpose of each document and the correct manner to complete and submit for approval

**Responsibilities**:
Determine and agree with client documentation requirements and implement:

- Obtain client information through by any means possible.
- Discuss weight selections requirements for documentation per product and market
- Ensure client information on Navision (Consignee and notifying parties per market, freight payment details) stays updated
- Inform client of any additional / new requirements per market or document
- Discuss communication and documentation arrangements and requirements with client per market with agreed times to get necessary information to proceed with documentation

SI Submissions:

- Request dummy or chase actual container numbers for submission
- Ensure that the SI is submitted as per the client matrix, included but not limited to freight payment details and invoice parties
- Complete and capture of final information (update provisional SI) on Navision to ensure correctness of final SI - ensure confirmation of submission

Initiate manage and control internal processes:

- Verify correctness of weights, mates and other relevant information prior any submission instructions.
- Scrutinize files to be split report to identify containers where VGM and mates are available to be imported to start processing and import as per client requirements
- Select required statutory and courier documents on control sheet.
- Instruct applicable specialist by means of updating control sheet with “Instruction and Received” dates
- Ensure all documents completed that cannot be handled by specialist desk process
- Prepare letter of credit documents as per requirements
- Give clear instructions to specialist / support desks
- In the comments capture special requirements per client applicable to document

Control and monitor processes to ensure timeous dispatch of documents:

- Monitor document status with specialists by means of control sheets
- Chase documentation with specialists
- Collate and verify correctness of documents
- Send clear and complete courier instructions to relevant cross port specialist desks
- Scan documents
- Confirm correctness of documents from clients where applicable (send pre-courier copies if required)
- Obtain authorisation, from client to courier, to place file on hold or awaiting freight POP. Execute as per client instruction.
- Arrange Telex releases after bill of lading has been released
- Finalise client files once waybill is confirmed.

Ensure accuracy of control sheets for invoicing:

- Ensure invoicing is completed timeously (Finance Report) as per agreed KPI
- Update control sheets
- Update STATUS comments
- Complete filing timeously

Client Communication:

- Resolve deviations with client and inform if costs are involved
- Ensure client stays informed about progress of files
- Ensure clients are informed of any deviation that will have an impact on their documentation
