**Parts Sales Executive**

**Main purpose of position**

To optimise (external) parts sales opportunities with optimum profitability and maximum customer satisfaction, through the availability and delivery of correct parts.

**Key Working Relationships**:

- Internally: all dealership departments
- Externally: Service Providers, Customers

**1. **Details**:

- Prospect for new customers and maintain existing customer relationships
- Actively market/advertise products and brand to existing/non-existing customers; creating continuous brand/product awareness
- Receive, welcome and attend to all walk-in (external) customers in warehouse
- Assist internal (i.e. workshop/sales) customers in a professional and courteous manner
- Attend to general telephonic enquiries
- Establish customer needs by asking open questions, actively listening and taking notes
- Ensure parts display area is clean and tidy
- Ensure parts display area stock is current
- Ensure correct pricing is indicated
- Daily sales report
- RFC’s (return for credit)
- Verbal customer feedback
- Visual inspection

**2. **Identify the availability of stock and manage non stocking item orders**
- Ensure an accurate reflection of available stock
- Order non stocking items to complete an order
- Ensure all parts are reflected on automated system
- Identify parts not utilised and not put into stock (non-stocking items)
- Notify Parts Manager of unsold parts on a weekly basis
- Stock evaluation
- Pareto report
- Special order report / Avoid Verbal Orders

**3. **Present parts and accessories as per customer requirement**
- Ensure effective product knowledge (parts) understanding
- Explain technical details in a simple and understanding manner and highlight benefits to add value (i.e. EPC - electronic parts catalogue)
- Present the product on the customers’ needs and desires
- Supply trade customers with accurate and timeous quotations

**4. **Order and locate required parts accurately and timeously**
- Ensure correct order form is generated with accurate information
- Locate specified order within desired timeframe (customer needs)
- Ensure timeous delivery of order
- Ensure adherence to specified discount structures
- Identify reason for under / over payment
- Inform customer of under / over payment
- Discuss the settlement with customer
- Accurate order number
- Adherence to correct ordering process
- Daily sales report

**5. **Issue parts (cash sales & non-cash sales)**
- Ensure correct text invoice on ordered part (cash sales)
- If external order, ensure parts requisition slip signed together with job card by supplier and receiver (cash sales)
- Issue documentation with ordered part (cash sales)
- Issue part, once proof of payment has been received (cash sales)
- Confirm receipt of order slip (non - cash sales)
- Verify order with order no. (non - cash sales)
- Create invoice with order no. (non - cash sales)
- Supply part with invoice (none - cash sales)
- Spot check on Job Card’s
- Tracking invoice during payment process

**6. **Order special orders & Receive special orders**
- Verify where part can be sourced from (i.e. other dealer,)
- Place on order with supplier
- Confirm accuracy of ETA (estimated time of arrival)
- Issue order no.
- Document order in special order book
- Verify if part is correctly ordered and undamaged
- Bin the special order part on special order bins
- Inform the customer of the arrival of the special order
- Audit results

**7. **Stock adjustments**
- Accurate stock levels as per automated system
- Obsolescence value
- Special order report
- Discrepancy report
- Physical check on special order bins
- All outstanding amounts recovered or referred
- Parts variance report

**8. **Ensure all risk (financial and non - financial) are minimised and security awareness is maintained**
- Inspect all picked deliveries against invoices and workshop requisitions
- Ensure adherence to control system for all parts entering and leaving the department
- Ensure all credit and stock adjustments are signed off by Financial Manager / Parts Manager
- Ensure an understanding of the Occupational Health and Safety Act. 1993
- Ensure necessary compliance to the Occupational Health and Safety Act. 1993 requirements within workshop
- Zero health and safety incidents
- Zero stock losses
- Perpetual stock take discrepancies

**Minimum Job Requirements**
- Senior Certificate (Grade 12) with Maths
- Computer literate (Office suite)
- Driver’s license
- Parts experience in Motor Dealership Industry. Will be to your advantage but is not a prerequisite
- Basic product knowledge
- Must reside in the Brits and surrounding area
