**Job Overview**:
**Key Responsibilities**:
- **Property Administration**:
- Maintain and update property records and databases using MDA software.
- Assist in the preparation, review, and management of lease agreements, ensuring all documentation is accurate and legally compliant.
- Co-ordinate lease renewals, amendments, and terminations, ensuring tenants are informed and documentation is properly managed.
- Prepare and distribute tenant notices, correspondence, and other communications.
- Assist in compiling property reports, including financial statements, lease summaries, and vacancy reports.
- **Tenant Management**:
- Respond promptly to tenant inquiries and service requests, ensuring high levels of tenant satisfaction.
- Co-ordinate maintenance requests from Tenants and work closely with Maintenance Department to resolve issues efficiently.
- Monitor rent collections, ensure tenants adhere to payment terms, and address any delinquencies.
- Assist in resolving tenant disputes and complaints, escalating more complex issues to the Property Manager.
- **Leasing Activities**:
- Support the leasing team in marketing vacant properties and conducting property viewings.
- Assist in the tenant screening process, including background and credit checks.
- Prepare lease documentation and ensure all necessary approvals are obtained.
- Track and report on leasing activities, including occupancy rates and lease expirations.
- **Financial Administration**:
- Understand and manage municipal bills and charges, ensuring accurate recovery from tenants' accounts.
- Assist in the preparation and management of property reports, including processing invoices and reconciling accounts.
- Prepare financial reports and handle service charge budgets and year-end reconciliations using MDA software.
- Ensure accurate and timely processing of financial transactions related to property operations and tenant billing
- **Compliance and Reporting**:
- Ensure all property management activities comply with relevant regulations and company policies.
- Maintain up-to-date knowledge of property laws, regulations, and industry best practices.
- Prepare regular reports for management, including occupancy rates, lease expirations, financial performance, and municipal charges.
**Qualifications and Skills**:
- **Experience**:
- Minimum of 1-2 years of experience in property leasing and administration.
- Proficiency in MDA property management software is essential.
- Experience in tenant management, lease administration, and handling municipal bills and charges.
- **Skills**:
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to build and maintain positive relationships with tenants and colleagues.
- Competence in Microsoft Excel and Word is essential, with the ability to create and manage spreadsheets and documents efficiently.
- Detail-oriented with strong analytical and problem-solving abilities.
- Ability to work independently and as part of a team in a fast-paced environment.

- Knowledge of local property laws, regulations, and municipal billing practices.
