- Switchboard
- Answer phones
- Transfer calls
- Reception
- Ensure visitors are helped
- Covid register - staff and visitors
- Take temperatures
- Ensure register is completed
- PA Duties to MD and Sales Manager
- Gate Access
- Buzz visitors in and out of premises
- Keeping stock and place orders for promotional goods, stationery, groceries, and consumables
- Keeping control of Samples
- Ordering
- Stock control
- Despatching to customers
- Updating sample register
- Metrofile
- Arrange storage and recovery of files
- Ordering of relevant stationery
- Couriers
- Completing of relevant documentation
- Organise collections
- File waybills.
- Match waybills to invoices
- Check that invoices are correct
- Shipping agent recons
- Recon invoices back to suppliers’ statement and Pastel
- Get shipping to sign off
- Hand to accounts to pay
- Transporters and third-party warehousing
- Recon invoices on excel back to statement
- Enter onto Pastel
- File and hand to accounts to pay
- New customer accounts
- Get new accounts authorised by management
- Add new accounts on to Pastel
- Proof of delivery
- E-mail to customers on request
- Customer Trade references
- New Supplier accounts
- Get management to sign
- E-mail back to suppliers
- Drums
- Arrange collections & receive payment
- Print labels for files, drums and pails
- COD Customer processing
- Taking orders
- Update Pro forma list immediately
- Updated Pro forma list once payment has been made
- Follow up on delivery, collections / pod’s
- Invoice in a timeous manner
- Follow up on short payments or over payments
- Balance back to Pastel monthly
- File invoices in invoice file
- Credit notes if required, to be signed by Rod - with reasons and then filed
- Follow up with customers who do not pay pro-forma invoice - report back issues to relevant salesperson. Update comments on proforma list.
- Helping Sales, Accounts and Shipping:

- Running with shipping function when shipping person is on leave
- Running with customer sales when customer services person is on leave
- Taking orders
- Processing on Pastel
- Maintaining MSDS’s and TDS’s
- Filing
- Making tea / coffee / sandwiches

Key work outputs (results required):

- Willing to learn
- Willing to help out wherever needed
- Ability to work unsupervised
- Punctual and reliable
- Non smoker.
