GARDP Africa is a registered not-for-profit company based in Cape Town, South Africa. It is part of the Global Antibiotic Research & Development Partnership Foundation's (GARDP) network and supports GARDP to deliver its mission. GARDP accelerates the development and access of treatments for drug-resistant bacterial infections, and seeks to work together with public, private and non-profit partners.

Overall Purpose:

Finance Senior Officer (FSO) will be a key person with responsibilities across the finance department. The FSO role provides specialist services to operations, projects and clinical trials and the implementation of the company's financial management strategy, with a strong emphasis on donor financial management, budgeting, procurement and general accounting activities. The FSO will ensure that the budgets are maintained, any variances are reported, all donor reports are completed on time and any daily finance and accounting activities are maintained to a high-quality standard and on a timely basis. The FSO will contribute to the year-end closing of accounts and preparation of the annual statutory and donor audits.

Contribution

FSO provides specialist services to operations, projects and clinical trials, working within tried and tested policies, processes and practices. He/she solves non-routine problems on a case by case/project basis, in consultation with other colleagues or supervisors.

Scope of Work (Results)

The services provided affect the performance of systems, processes and teams.

Tasks and Responsibilities:

Donor reporting & proposals

- Work with Operations Lead on donor reports, ensuring all costs are allocated correctly as per the signed contracts.
- Provide support to the Project Leads when preparing donor proposals. Ensure costs are correctly allocated as per the current gap analysis and the proposal budget is prepared on time.
- Ensure all donor queries are responded to correctly and timeously.
- Active support of the income recognition process at the year-end on Business Central Accounting system.
- Work with Project Leads team on keeping the donor information on Salesforce up to date.

Budgeting

- Work with the Operations Lead on twice yearly budget process.
- Ensure all budgets are correctly consolidated on Tagetik Budget system.
- Ensure all Tagetik monthly, quarterly and annual reports are correct.
- Review budget variances and support programme and departmental budget holders.
- Work with IT team on the production of all Tagetik reports.
- Support Project Leads and budget holders with all adhoc budget queries.
- Ensure all budget teams are fully trained on Tagetik and the GARDP Africa budget process.

General Accounting Activities

- Performing Accounts Payable activities ensuring that all invoices and expense claims are processed on Business Central and paid timeously
- Complete monthly bank reconciliations
- Credit Card (CC) management, ensuring all monthly transactions are processed in the accounting system
- Receiving bank statements, numbering each transaction and attaching the corresponding documentation
- Prepare and process Salary journals on Business Central system

Participate in the annual closing of GARDP Africa accounts and preparation for various audits

- Active support in the mid-year closing and year-end closing based on the task list provided.
- Reconciliation of balance sheet accounts as per closing task list.
- Preparation for the statutory and donor audits.
- Work with IT on the Tagetik year-end financial reports.

Internal control system:

- Adheres to Standard Operating Procedures/ Processes (SOPs) and participates in updating the SOPs.

Other tasks:

- May be involved in other tasks or projects when needed (e.g. implementation of various IT tools and Business Central/Tagetik developments).
- Acting as a point of contact for all things finance at GARDP Africa.

Reporting line

- Reports to the Operations Lead

Interactions

- Works with Internal stakeholders at GARDP Africa, GARDP Foundation Team and other External stakeholders such as bank, suppliers, statutory & regulatory institutions.
- Collaborators, counterparts, and service providers are mainly in the functional area in and outside GARDP Africa to get information, guidance, and feedback or to enlist cooperation. The FSO has an external role focusing on exchanges on information and work with suppliers or officer level staff of partners and donors.

Experience

- Minimum 6 years' relevant experience in which at least 3 years with Donor Finance Management exposure

- Experience with multiple currencies and analytical accounting
- Proven ability to work effectively in a team environment and matrix structure
- Experience of working in a Not-For-Profit company is advantageous

Education

- Graduate or post graduate degree in Accounting

Other Requirements

- Fluency in English
- Good knowledge of Microsoft Suite, Knowledge of accounting system Navision/ Business Central is an advantage
