Job Title: Unit Operations Coordinator

The ideal candidate will be responsible for coordinating all unit operational and client activities, ensuring all deliverables are achieved. This includes managing HR, Administration, and Operational requirements within the unit as per company requirements.

Duties & Responsibilities

Administration:

  • Employee - Verify all new and existing employee contracts to ensure they have been correctly allocated to client contract periods and reasons.
  • Client - Manage client contracts, SOPs, and SLA agreements, ensuring all client contracts are up-to-date and in place.
  • Payroll - Responsible for branch and designated client payroll submissions, capturing and submitting timesheets, and collating pay queries.
  • Creditors - Submit quotations and invoices for payment.
  • Stock Management - Order and manage stock levels of PPE, stationery, etc., and submit monthly stock take reports.
  • Compliance - Ensure compliance with payroll processes as per Payroll Manager and company requirements.

Recruitment & HR Related Tasks:

  • Responsible for end-to-end recruitment, including bulk recruitment and temp placement targets.
  • Sourcing and reference checking pool applicants, scheduling MIE and driver testing, and completing full signup packs.
  • Maintaining contract staff files, updating Pool Lists, and monitoring Compliance Reports.
  • Resourcing and staffing vacancies, utilizing creative sourcing strategies, and applying HR recruiting best practices.
  • Ensuring client recruitment needs are met and aligned with company/client requirements, policies, and procedures.

Client Engagement:

  • Coordinating Client Management/Service Delivery Meetings and attending interdepartmental meetings.
  • Preparing agendas, minute-taking, and ensuring follow-up and service deliverables have been met.

Operations:

  • Assisting operations with employee collection and drop-off points, site allocation, and placement.
  • Coordinating due diligence before placement, including license checks, PPE, Breathalyser assessments, and Health & Safety requirements.
  • Inducting employees as per company and client requirements.
  • Maintaining statutory documents at sites, such as DOL wall charts and disciplinary codes.
  • Contributing to company recruitment drive and branding strategies.
