Duties and Responsibilities:
- Answer all calls professionally, courteously, and efficiently.
- Take messages and ensure they are actioned by the relevant person.
- Communicate with patients via phone, email, or SMS regarding feedback from doctors.
- Manage patient appointments, communicate billing policy to new patients.
- Prepare files for upcoming appointments.
- Welcome patients in a friendly and professional manner, manage client expectations.
- Ensure patient details on file are up-to-date, obtain new information if necessary.
- Capture accurate information on system for new patients.
- Contact other doctors to obtain notes and referral letters.
- Obtain patient results and related correspondence (lab results, radiology etc).
- Provide relevant information and forms to patients for in-room procedures, surgeries, and hospitalizations.
- Prepare theatre list bookings and pre-authorisations.
- Arrange Anaesthetist and Assistant for surgeries.
- Capture clinical notes on patient files post-treatment.
- Track cases where the doctor has assisted in surgeries.
- Assist with doctors reports and thank you letters.
- Track pharmacy accounts and stock.
- Accept payments and receipt them.
- Allocate patient payments.
- Maintain Petty Cash.
- Schedule admin-related appointments with doctors and service providers.
- Liaise with contractors like hospitals, IT specialists, Suppliers etc.
- Maintain supplier contracts and agreements.
- Order stock from pharmacies, stationers etc.
- Support marketing initiatives.
- Assist the doctor with office admin tasks.
