Key Responsibilities:Financial Control:
  • Ensure that all personnel in the department adhere to and follow OEM and company policies and procedures.
  • Ensure all targets and deadlines are met, and monthly reconciliations are up to date and outstanding items are cleared in a timely manner.
  • Prepare monthly management accounts and institute effective cash flow methods daily, preparing a daily cash flow analysis.
  • Manage cash flow, funds transfers, and interest earned, and manage an effective collection process for outstanding money.
Computer System:
  • Have a working knowledge of Microsoft Office, particularly Excel, and ensure the safekeeping and maintenance of the database on the integrity of financial information on DMS.
  • Manage users on the system and ensure passwords are controlled effectively.
Staff Requirements:
  • Ensure all staff receives necessary training to perform their functions efficiently, train, assist, and motivate admin staff.
  • Ensure all salary requirements and adjustments are forwarded to the human resources department in a timely manner.
Asset Control:
  • Institute and control procedures for safekeeping of assets, such as weekly vehicle stock checks.
  • Ensure fixed assets are correctly recorded on the DMS system and depreciation charges are correctly applied.
  • Ensure an extensive understanding of controls for stock take procedures and make yourself available during these times.
Statutory Returns:
  • Accurately and timeously complete and submit all statutory returns, including VAT.
  • Complete FIC financial intelligence reporting on Section 28 and Section 29 transactions, CTR/CTRA within 48 hours, and STR within 4 weeks of the transaction becoming suspicious.
  • Amend and update the goAML system as required.
General Accounting Functions:
  • Prepare a monthly management account pack, ensuring all balance sheet reconciliations are complete.
  • Complete monthly commission sheets for all departments, ensuring all monies collected prior to commission payment and all late costs are accounted for.
  • Optimize interest-free units in conjunction with the Sales Manager and Controller.
  • Control all OEM accounts and follow up on outstanding amounts.
  • Verify variable incentives and clawbacks, ensuring they are in line with OEM bulletins and signed off by relevant Departmental Managers and Dealer Principals.
  • Complete STATS SA submissions and FIC financial reporting.
Budgets:
  • Prepare initial budgets in conjunction with Line Managers and submit to the Group Financial Manager every quarter.
  • Finalize and complete budgets with the Dealer Principal.
  • Assist with presentation and review process to management.
Auditors:
  • Close co-operation with auditor requests.
  • Prepare year-end financial packs for audit process.
  • Post final year-end journal entries on completion of annual financial statements to balance back to Auditor Trial Balance.
Leave:
  • Leave cannot be taken over the financial year end, i.e., February and until final year-end reconciliations are completed.
  • Every effort must be made to ensure you are not on leave over any month end.
  • Leave pay commission and leave bonuses are kept in a separate journal to track leave pay commission already paid out and the average amount still due to employees.
  • Hold a monthly leave audit meeting to ensure leave has been allocated correctly.
BBBEE:
  • Complete all functions pertaining to the completion of the BBBEE Pack, including procurement, CSI, ED, SED, and Skills.
