Contract Sales Administrator Job Overview

We are seeking a highly skilled and organized Sales Administrator to join our team on a contract basis. This role will involve managing sales orders, processing claims and returns, and providing excellent customer service.

Key Responsibilities:
  • Sales Order Management: Process sales orders in a timely manner, ensuring data accuracy and validation.
  • Order Verification: Verify sales orders processed automatically via EDI to ensure correctness.
  • Ranging Document Compliance: Ensure orders correspond with ranging documents, guaranteeing correct products for stores.
  • Minimum Order Value Guidelines: Ensure orders meet minimum order value guidelines.
  • Invoice Processing: Prevent invoices from being issued for out-of-stock products.
  • Claims and Returns: Process and manage claims and returns efficiently.
  • Quote Management: Process and manage quotes for customers promptly.
  • Customer Portal Monitoring: Monitor customer portals for new orders, claims, and stock levels.
  • Back-order Maintenance: Maintain back-orders and liaise with clients regarding stock updates.
  • Invoice Delivery: Ensure customers receive invoices via email.
  • Stock Tracking: Capture unavailable or out-of-stock items.
  • Order Delivery Tracking: Track order deliveries and rejections.
  • Query Resolution: Resolve queries with stores and warehouses effectively.
  • Financial Support: Provide support to the finance and debtors function.
  • Operational Reporting: Manage key operational reports and ensure compliance with KPIs.
  • Customer Master Files: Maintain up-to-date customer master files and sales records.
  • Order Extensions: Schedule order extensions with the replenishment department at store level.
  • Document Creation: Create invoices and other customer-facing documents.
  • Communication: Communicate with buyers to prioritize orders or plan delivery date extensions.
  • Customer Support: Provide customer and sales support on pricing, stock holding, deliveries, lead times, claims, returns, queries, MOVs, MOQs, and rounding profiles.
Requirements:
  • Experience in a similar industry (DIY Products, Hardware, or Suppliers).
  • Familiarity with Massmart, Bucco, Makro, etc.
Estimated Salary Range:

Based on market rates and location, the estimated salary range for this role is between $40,000 - $55,000 per annum.
