Key Responsibilities- Fleet Management:
- Coordinate the procurement of vehicles and accessories, ensuring all necessary documentation is completed accurately and efficiently.
- Manage the delivery process, including tracking and confirming delivery dates with suppliers.
- Process vehicle requisitions and generate purchase orders as required.
- Arrange for orders and proxy forms to be sent to suppliers.
- Monitor and track vehicle accidents, record keeping, and administration, including registering insurance claims and following up on completion.
- Order and manage fuel cards, ensuring all cards are ordered prior to vehicle delivery.
- Perform monthly fuel reconciliations and resolve any errors or issues with fuel cards.
- Coordinate contract restructures, including running pending restructure lists and issuing purchase orders as required.
- Schedule vehicle services in accordance with the service schedule and manage vehicle repairs to minimize downtime.
- Monitor and manage the tracking system, including installations, problems, and information.
- Manage vehicle fines, ensuring all fines are paid and liaising with HR to complete AODs.
- Manage lease vehicle, vehicle repair costs, and fuel expense allocations.
- Coordinate the process of selling asset vehicles.
- Manage license renewals and coordinate fruit customer fleet schedules.
- Assist the rental department with LTR and STR as required.
- Assist the debtors team as required.
- Perform general administrative tasks, including preparing and distributing scheduled and ad-hoc reports.
- Administration Duties:
- Manage the CAPEX process, including creating POs, uploading to Magnitude, paying suppliers, and registering assets on Kerridge.
- Create and monitor purchase orders, ensuring all outstanding orders are followed up and processed.
- Manage cell phone and computer equipment, including ordering and maintenance.
- Manage the GIS account daily, verifying branch information.
- Facilitate and process the entire customer onboarding process.
- Manage the asset register.
- Be responsible for petty cash.
- Be responsible for purchasing for the admin and rental department.
- Coordinate and drive clearing accounts with all departments.
- Requirements:
- Advanced computer literacy in MS Outlook, Word, and Excel.
- Experience working in Kerridge is advantageous.
- Strong analytical ability, with a focus on attention to detail and accuracy.
- Strong financial and numerical ability, with experience and understanding of financial indicators, including AODs, Capex, fleet replacement, and restructures.
- Strong accounting knowledge, particularly with regards to fixed assets and depreciation calculations.
- Excellent interpersonal skills, including verbal and written communication skills in English and Afrikaans.
- Ability to interact with senior management and communicate effectively with people at all levels in an organization.
- Impeccable telephone manner and professional communication skills when dealing with customers.
- Ability to function effectively in a group and add value to the team.
- Excellent work ethic, with a strong sense of honesty, reliability, and dedication.
- Highly developed prioritizing and multi-tasking skills, with a strong sense of urgency and problem-solving ability.
- Dedication to service excellence in every aspect of work carried out.
- Ability to work with little or no supervision and still complete tasks timeously.

- Required Certificates, Licenses, Registrations:
- Grade 12 / Matric.
