Property Management Specialist

We are seeking a highly skilled and organized Property Manager to join our team at Swoop Recruitment. As a key member of our property management department, you will be responsible for maintaining high standards of service and satisfaction for both tenants and landlords.
Key ResponsibilitiesClient Communication & Support:
- Respond to all incoming client correspondence within 24 hours.
- Ensure all phone calls are returned by the end of the business day.
- Act as the key liaison between tenants, landlords, and contractors for maintenance, repairs, and inspections.
Property Maintenance & Safety:
- Organize and oversee maintenance and repairs for properties, ensuring quick, cost-effective solutions to a high standard.
- Ensure properties comply with health, safety, fire, and risk regulations, with special attention to HMO properties.
- Conduct pre-tenancy property inspections and ensure properties meet owners' expectations.
- Manage monthly compliance reports and maintain essential certificates (GSC, Electrical Safety, Fire Alarm, EPC, etc.).
Tenancy Management & Compliance:
- Address tenant queries related to rent, tenancy dates, maintenance, and other concerns.
- Run tenancy reports and take action on tenancy expirations, renewals, and arrears.
- Apply charges where necessary (e.g., renewals, late rent penalties, early termination fees).
- Serve legal documentation to landlords and tenants when required.
Vacate & Move-Out Procedures:
- Coordinate with tenants on vacate dates, inspections, and maintenance jobs.
- Manage tenant accounts and ensure the accurate processing of deposit refunds.
- Finalize all tenancy matters in the system and archive necessary documents.
Landlord Relations & Property Inspections:
- Introduce yourself to new landlords and provide ongoing support for any queries.
- Carry out comprehensive pre-tenancy and monthly property inspections.
- Monitor contractors and ensure all works comply with relevant regulations, including HMO licensing.
Contractor & Invoicing Management:
- Liaise with contractors to obtain quotations and monitor the quality of service delivery.
- Ensure only approved contractors are engaged for property works.
- Review and approve contractor invoices, resolving any discrepancies before payment.
Health, Safety & Compliance:
- Follow and ensure adherence to company health, safety, and compliance procedures.
- Monitor and enforce statutory and regulatory compliance across properties.
