Care Home Administrator Job Description

We are seeking a highly skilled and motivated Care Home Administrator to join our team at Gateway. As a key member of our administration team, you will play a vital role in ensuring the smooth operation of our care home.

Key Responsibilities:
  • Manage the provision of effective and efficient reception services, ensuring a warm and welcoming experience for residents and their families.
  • Respond to all enquiries from prospective residents, providing accurate and helpful information to support their decision-making process.
  • Coordinate admissions with the Home Manager or Deputy Home Manager, ensuring a seamless transition for new residents.
  • Ensure the Resident contract is presented to the Resident or their representative prior to admission and are completed and signed on day one of admission.
  • Collect initial payment and arrange Direct Debits for ongoing payments, maintaining accurate financial records.
  • Maintain administration systems relating to residents, ensuring confidentiality and data protection.
  • Liaise with appropriate departments regarding payroll, procurement, finance, and HR, providing administrative support to ensure the smooth operation of the care home.
  • Manage day-to-day payroll and queries, ensuring accurate and timely processing.
  • Complete payroll returns, ensuring they are correct, authorised appropriately and presented within agreed deadlines.
  • Produce all contract amendments, contracts of employment and HR letters in line with agreed HR process.
  • Cover reception duties in the absence of the receptionist, providing exceptional customer service.
Requirements:
  • Previous experience as a care home administrator is essential.
  • A welcoming and approachable persona, with excellent communication and interpersonal skills.
  • Confident in liaising with other members of staff and residents, with a strong ability to work collaboratively as part of a team.
  • Good time management skills, with the ability to prioritise tasks and meet deadlines.
