The Regional Coordinator will be responsible for coordinating and fulfilling administrative, financial, database, and regional support duties. This includes supporting CHOC programmes and fundraising initiatives as needed.
Main Responsibilities:- Administrative Duties:
- Provide office administration to ensure a well-functional office.
- Collate documentation and update the Salesforce database.
- Check all incoming e-mails, distribute as necessary, and take action on those responsible.
- Take minutes of staff meetings, send drafts for approval, and distribute when approved in a timely manner.
- Maintain staff files and register by ensuring that all papers are filed appropriately.
- Calculate monthly savings on donations received and submit to the Regional Manager.
- Carry out stock control once a month and update inventory accordingly.
- Ensure electronic equipment is in working condition, including telephones and printers.
- Accurate stock control is done once a month, and a clean audit is kept.
- Undertake day-to-day financial work.
- Receive cash donations, issue receipts, and coordinate with relevant staff regarding thank you letters.
- Receive and record sales revenue, issue receipts, and secure the safety of revenue.
- Maintain offices and hospitals petty cash books according to financial policies.
- Obtain quotes according to CHOC procurement policies and procedures for RM approval.
- Seek necessary documents for new supplier take-ons.
- Distribute and record Transport and Bereavement Funds to parent/caregivers (cash disbursements).
- Prepare four hospitals and two offices' petty cashbooks bi-monthly for RM checks and submit to Head Office in a timely manner.
- Manage counting of tin monies.
- Manage jumble sale.
- Manage office supplies and equipment, undertake stock control, and coordinate inventories.
- Manage asset register for yearly submission to head office.
- Accept, record in-kind donations, and upload to Salesforce with appropriate acknowledgements.
- Support Programs, Marketing, and Awareness Events:
- Provide assistance with CHOC's support programs.
- Assist with fundraising and awareness events.
- Assist with uploading contact information (fundraising and programmes).
- Order and upkeep regional merchandise.
- Qualification: Grade 12 with an administration, finance, and office management related qualification.
- Experience and skills:
- At least 5 years' experience in general administration and bookkeeping, preferably in the NGO sector.
- High computer literacy, particularly in MS Office; preferably in database systems (CRM).
- Excellent verbal and written communication skills in English.
- Strong administration, organisational, and coordination skills.
- Good with figures and a basic understanding of accounting and financial management.
- A valid unendorsed South African driver's license.
