Qualifications

  • Possession of a Diploma or NQF level 6 in Office Administration or a related field.
  • A minimum of 3 to 5 years of experience in an Executive Assistant role.
  • Familiarity with finance departments, particularly in managing Purchase Orders (POs).
  • Proficient in the Microsoft Office Suite, with a strong emphasis on Outlook for effective diary management support to the Head of HR.
  • Experience in organizing travel logistics.
  • Comfortable with minute-taking and proficient in preparing documents in Word, PowerPoint, and Excel.

Key Responsibilities

  • Develop and oversee the annual calendar.
  • Coordinate meetings by scheduling them in the calendars of all relevant stakeholders and managing logistics, including catering, travel, and accommodation.
  • Assist the line manager in managing their calendar and availability for meetings.
  • Handle routine office responsibilities such as administration, filing, invoicing, and managing stationery and other daily support services.
  • Identify urgent matters and escalate them to the appropriate stakeholders, ensuring feedback is provided to the line manager.
  • Maintain a professional and courteous approach in all client interactions.
