Key Responsibilities
  • Administrative Support: The successful candidate will manage purchasing authorization processes, travel arrangements, and Forex for international travel. They will also handle ad hoc personal bookings for the CEO and contribute to the development and implementation of organizational administrative policies and standards.
  • Secretarial Duties: The Executive Assistant will communicate CEO directives to executives, managers, and other stakeholders. They will screen calls, visitors, mail, and emails while maintaining organized records, calendars, and diaries. Additionally, they will coordinate meetings, prepare presentations, take minutes, and manage the CEO's expense claims.
  • Insurance Management: The successful candidate will oversee the company's vehicle insurance portfolio, handle claims, and arrange marine/transit cover when necessary.
  • Imports and Forex Management: They will ensure accurate processing of import documentation and manage Forex payments. They will work with finance to forecast cash flow for large purchases and book FECs accordingly.
  • Event Planning: The Executive Assistant will organize and manage internal and external events, including company Indabas.
  • Self-Development: They will assess their personal strengths and weaknesses, and pursue actions for professional growth.
Requirements
  • Education: A Diploma in Legal Secretarial or Paralegal Studies is required.
  • Experience: Minimum 5 years of experience in a related role.
  • Technical Proficiency: Advanced knowledge of Microsoft Office Suite, office practices, and import processing is essential.
Competencies
  • Organizational Skills: Strong organizational and administrative skills are necessary for this role.
  • Communication Skills: Excellent communication skills in English and Afrikaans are required.
  • Emotional Intelligence: High emotional intelligence, problem-solving ability, and attention to detail are essential.
  • Business Acumen: Business acumen and creativity are also required.
Additional Responsibilities
  • The successful candidate will oversee company credit card usage and maintain transparent and responsive communication across all levels of the organization.
Estimated Salary

R450,000 - R550,000 per annum, depending on experience.
