Job Description

We are seeking an experienced Payroll Officer to join our Shared Services HR team. The successful candidate will be responsible for the entire cycle of payroll processing, maintaining employee payroll and HR master records, and ensuring accurate and timely processing of payroll.

The role requires strong attention to detail, advanced Excel skills, and proficiency in payroll software Sage 300 People. The ideal candidate will have a minimum of 3 years' experience in a similar role and a Diploma in Financial Accounting or a related field.

Key Responsibilities:
  • Maintaining employee payroll and HR master records for purposes of payroll.
  • Ensuring accurate and timely processing of payroll to employees.
  • Contributing to the smooth operation of payroll activities and supporting employee satisfaction by handling payroll-related queries and maintaining confidentiality and accuracy in payroll data.
Duties:
  • Inputting, processing, and employee payroll admin support for multiple entities within SA and East Africa on Sage 300 People.
  • Maintaining employee files and records, ensuring a methodical filing process aligned to audit requirements both on SharePoint and Sage.
  • Reviewing and ensuring the accuracy of approved payroll inputs such as advances, staff deductions, and salary adjustments.
  • Maintaining employee payroll records; ensuring that employee changes were entered correctly and made on a timely basis; processing changes for proper authorization.
  • Generating reports for payroll review, e.g., variance reports and company reconciliations.
  • Preparing payroll reports from SAGE and providing input and data into reports as and when required.
  • Peer reviewing all payroll inputs and any reconciliations prepared by team members/additional payroll officers.
  • Reconciling 3rd party billing and Sage (Medical Aid, GL, Gap Cover) which is sent to finance for payment.
  • Being responsible for all tax-related activities, compliance status, establishing and maintaining current registrations, and tax issue resolutions.
  • Administering any changes to Umbrella Fund on a monthly process through file upload.
  • Communicating payroll changes to the HRBPs and Finance Leads.
  • Remaining up to date with the latest payroll and tax legislation.
  • Responding to and completing all service desk tickets related to basic payroll queries.
Requirements:
  • A minimum of 3 years' Diploma in Financial Accounting, human resources, payroll/tax, or a similar field.
  • Up to 5 years + relevant work experience in a similar role.
  • Advanced Excel and numerical abilities.
  • Strong checking and attention to detail.
  • Proficient in payroll software Sage 300 People.
  • Advanced Specialised Computer Literacy.
