Key Responsibilities:
  • Manage the opening of investment and current bank accounts for schemes.
  • Transfer funds between trust and investment accounts.
  • Arrange regular insurance valuations of schemes.
  • Ensure insurance premiums are paid on time and manage insurance claims.
  • Ensure timely payments of service providers, contractors, and municipal accounts for schemes.
  • Advise on sectional title and HOA matters, supporting and guiding Trustees.
  • Conduct regular complex inspections.
  • Assist Trustees with maintenance-related matters, such as obtaining quotations and reports.
  • Manage annual fire equipment services and ensure required compliance certificates are in place.
  • Review and be aware of sales of units and transfers within the portfolio.
  • Ensure levies are charged in line with approved budgets.
  • Ensure schemes spend in line with their approved budgets.
  • Review monthly debtors to ensure cash flow and liaise with debt collectors as needed.
  • Ensure resolutions are signed.
  • Ensure employees sign contracts of employment and provide relevant payroll supporting documents.
  • Manage staff loans, leave, and authorization of wages/salary reports with the assistance of the Administrator.
  • Make documents available to relevant parties (estate agents, lawyers, owners, banks).
  • Archive and file management, email, and document management.
  • Attend and minute General Meetings and Trustee Meetings.
  • Draft notices, circulars, and letters.
  • Prepare budgets (ensure approved budgets are loaded on time) and attend to levy increase letters to owners and new budget resolutions to be signed by Trustees.
  • Review monthly community reports and distribute to Trustees.
  • Review draft financial statements.
  • Manage complex loans and recover same via special levies.
  • Ensure complexes are registered for Tax in line with SARS requirements and annual submissions are done on time.
  • Facilitate collection procedures and reporting to Trustees, debtors, and cash management.
  • Draft, with the assistance of the Bookkeeper, annual scheme budgets for Trustees' consideration.
  • Be available over WhatsApp.
  • Assist in preparing and updating the 10-year maintenance plan.
  • Assist with rule creation and registration at CSOS.
  • Attend to the take-on of new schemes and related functions.
  • Represent the Trustees at CSOS disputes, as requested.
Additional Duties:
  • Open bank accounts (current and investment) for new schemes taken on.
  • Open Netcash account for new schemes taken on.
  • Load debit order batch for monthly levy payments by clients.
  • Authorize daily payments.
  • Load monthly CSM staff salaries and distribute staff pay slips.
  • Attend to loading and authorizing of CSM and CS department invoices.
  • Draft management agreement for new clients and renewals.
  • Prepare proposals for potential new clients/meet with potential new clients.
  • Market to bring on new schemes.
