RPO Recruitment is seeking an experienced Administrative Manager to oversee the administrative functions of a well-established construction company. This role involves ensuring the smooth operation of the organization, managing office resources, and supporting various departments to enhance overall productivity.

Key Responsibilities

**BBBEE Compliance**

  • Develop and implement a strategy to achieve desired BBBEE compliance level in conjunction with stakeholders.
  • Maintain a procurement schedule to ensure compliance.
  • Initiate Supplier Development Agreements and implement supplier development initiatives.
  • Regularly update management on BBBEE progress and advise on changes in legislation.
  • Propose training solutions to reach targets.
  • Ensure the company maintains a valid BBBEE Level 1 certificate.

**Skills Development**

  • Implement a Skills Development Scorecard strategy to enhance employee skills.
  • Arrange site training as required by various sites.
  • Ensure plant operators have valid Operator Certificates at all times, renewing every 2 years.
  • Prepare and submit Annual Training Report and Workplace Skills Plan for both LRC and LRP.
  • Register qualified employees with SACPCMP.
  • Institute mentorship programs with identified employees.

**Insurance Administration**

  • Register and administer all insurance claims.
  • Apply for re-imbursements when paying upfront for losses such as windscreens.
  • Maintain insurance schedules and claims registers.

**Site Administration and Support**

  • Supervise and oversee site clerks and their work.
  • Review and post site stock issues, liaising with the financial department.
  • Develop and maintain the Admin Forms App for daily submission of source documents and real-time capturing of plant and bakkie diesel consumption.
  • Conduct site stock audits to verify actual quantities with captured quantities.
  • Investigate and take disciplinary action on site clerks as needed.
  • Arrange site furniture and order PPE upon requisitions received.
  • Provide IT support for site personnel.

**Plant Management**

  • Draft and submit a weekly Plant List.
  • Monitor non-reporting tracking units and arrange for repairs or replacement.
  • Arrange new tracker installations for new vehicles in compliance with insurance terms.
  • Assist the Workshop Manager with internal inquiries for plant incidents.
  • Compile a monthly traffic fines schedule and arrange payment and salary deductions with finance and payroll.
  • Arrange calibration and repairs of Troxler/CPN.
  • Monitor digital diesel probes.

**Head Office Administration**

  • Manage all security matters at the Head Office in conjunction with the Workshop.
  • Attend to maintenance of facilities.
  • Maintain key registers and spare keys.
  • Archive all department documents and maintain a digital archive for the Finance Department.
  • Provide IT support.
  • Manage all admin stores.

**Requirements**

  • Proven experience as an Administrative Manager or in a similar role.
  • Experience working in the construction industry.
  • Bachelor's degree in Business Administration or a related field.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in office management software and Microsoft Office Suite.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Problem-solving skills and attention to detail.
