We are a dynamic and fast-paced organization seeking an exceptional Executive Assistant to support our team. As an administrative professional, you will play a vital role in ensuring the smooth operation of our office and contributing to our success.

Job Description

As our ideal candidate, you will possess exceptional organizational skills, excellent communication abilities, and a proactive mindset. Your key responsibilities will include:

  • Managing day-to-day administrative tasks, including email correspondence, scheduling meetings, and handling incoming calls and making outbound calls.
  • Coordinating Director's diaries and ensuring seamless meeting arrangements.
  • Maintaining office supplies inventory and ordering as needed.
  • Preparing and editing documents, presentations, and reports as required.
  • Assisting with travel arrangements and expense management for team members.
  • Oversight and maintenance of the office environment, including facilities management, equipment maintenance, and vendor relationships.
  • Coordination of office events and logistics for meetings, conferences, and team-building activities.
  • Development and implementation of office policies and procedures to ensure efficiency and compliance with company standards.
  • Handling incoming and outgoing mail, packages, and deliveries.
  • Supporting basic financial tasks such as processing invoices, tracking expenses, and reconciling accounts.
  • Collaboration with the finance team to ensure accurate and timely reporting.
  • Monitoring office expenses and suggesting cost-saving measures when appropriate.
  • Supporting HR-related tasks such as coordinating recruitment processes, scheduling interviews, and onboarding new employees.
  • Maintenance of employee records and adherence to company policies and legal requirements.
  • Support for HR initiatives, including employee engagement activities and performance management.
Requirements

To be successful in this role, you must have:

  • A minimum of a High School Diploma or equivalent; a degree or diploma in Business Administration or a related field is advantageous.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and problem-solving abilities.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in Google Workspace is advantageous.
  • The ability to maintain confidentiality and handle sensitive information.
  • A professional and positive demeanor with excellent interpersonal skills.
Compensation

We offer a competitive salary of approximately $45,000 - $60,000 per year, depending on experience and qualifications.
