Main Job Purpose:

To provide exceptional first point of contact for all stakeholders, employees, and visitors, ensuring a professional and welcoming experience. Collaborate with the Senior Personal Assistant and administration team to support the Groups Business Units.

Key Responsibilities:
  • Manage the reception area, ensuring it is tidy and presentable at all times.
  • Direct visitors to the appropriate person or office, and handle incoming phone calls and emails with accuracy and efficiency.
  • Assist with daily communication to Sales, Admin, and Management Departments, ensuring timely and accurate information.
  • Monitor and manage Admin display systems, including DSTV and CCTV.
  • Control access to the office via the reception desk, maintaining office security and following safety procedures.
  • Schedule services for office equipment, including printers, copiers, aircons, CCTV cameras, fridges, and DSTV decoders, obtaining pre-authorization from the Business Department Financial Manager.
  • Support the Senior Personal Assistant with various tasks and projects.
  • Arrange travel and accommodation requirements, including flights, car hire, online boarding, and accommodation, and prepare travel packs.
  • Manage and order office supplies, including groceries, stationery, cartridges, water, and conduct daily and monthly reconciliations.
  • Keep updated records of office expenses and costs, and submit monthly reconciliations to the Business Department Financial Manager.
  • Perform other clerical duties as requested by the Senior Personal Assistant.
  • Keep a schedule of Maintenance Department outstanding and completed responsibilities, and report on a weekly basis to the HR Department and Senior Personal Assistant.
  • Manage meeting room bookings, organize cleaning, arrange refreshments, and beverages for meetings, as required by the Senior Personal Assistant.
  • Assist with marketing and other related events, and presentations for meetings with employees, producers, and buyers, as requested by the Senior Personal Assistant.
  • Manage and control Corporate Clothing, ordering and issue, and conduct daily and monthly stock reconciliations.
  • Assist with admin departments when employees are on leave.
  • Assist with ad hoc duties as requested by the Senior Personal Assistant.
