We are seeking an exceptional administrative professional to join our team as a Departmental Administrative Assistant.

The ideal candidate will possess excellent written and verbal communication skills, computer literacy, and proficiency in Microsoft Office applications.

Main Responsibilities
  • Provide administrative support to the office manager and project managers.
  • Prepare reports, correspondence, and minutes.
  • Compile and edit reports, letters, and minutes.
  • Bind and collate reports and tender documents.
  • Update the office report regarding utilisation, budgets, debtors, active projects, proposals, opportunities, and office financials.
Key Accountabilities
  • Pursue documents – complete BnB, risk, CSOC, and NPIS forms for proposals/projects, upload to SharePoint.
  • Manage project files – provide documentation for creation of project files for new projects and update as required.
  • Scan and save relevant documents, update project file with hard copies.
Tender and Vendor Management
  • Assist with compilation and completion of tender documents and vendor registrations within required deadlines.
  • Maintain and update office tender register and vendor registration register.
Financial Administration
  • Compile and assist with monthly accounts as per cost detail reports and budgets.
  • Process invoices, verify invoices, and supporting documentation.
  • Submit documentation for cost controller review and approval.
  • Verify vendor/sub consultant invoices and approval process.
Human Resources and Personnel Services
  • Support staff employment and induction processes.
  • Maintain confidentiality and attention to detail.
  • Control access and record-keeping.
Professional Qualifications and Experience
  • Matric and secretarial certificate.
  • B Com: Project Management qualification.
