About the RoleThis position involves overseeing the day-to-day operations of the practice, ensuring that all functions are carried out efficiently and effectively. The ideal candidate will have strong administrative skills, excellent communication abilities, and experience in managing a team.
Key Responsibilities- Team Management: Supervise and evaluate the work activities of admin, cleaning, patient care consultant staff, and gardener.
- Time Management: Manage one's own time and the time of others, ensuring that tasks are completed promptly and deadlines are met.
- Record Management: Maintain computerized record management systems (Medical Software) to store and process data such as patient information, and to produce reports.
- IT Support: Assist in ensuring that all functions pertaining to computers are done timeously, including daily backups, backup and restore, medprax, and month-end procedures.
- Policies and Procedures: Monitor organisational policies and procedures for the Centre.
- Scheduling: Assist in establishing work schedules and assignments for staff, according to workload, space, and equipment availability.
- Communication: Maintain communication between professionals, staff, and patients.
- Awareness: Maintain awareness of general condition of health Centre and work done by service providers.
- Customer Service: Resolve customer complaints by following due process, and answer customers' questions regarding policies and procedures.
- Employee Development: Assist in supervising the work of administrative or customer service employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems.
- Training and Development: Identify employee job performance problems in order to recognize causes and issues, and to work on resolving problems. Assist in training and instructing employees in job duties and company policies, or arrange for training to be provided.
