Job Title: Estate Manager

About the Role:

The Legends Agency is seeking a highly skilled and experienced Estate Manager to join our team. As an Estate Manager, you will be responsible for the day-to-day management of client estates, ensuring that all aspects of estate operations are running smoothly and efficiently.

Key Responsibilities:

Site Inspection and Maintenance:

  • Conduct regular site inspections to ensure that all areas of the estate are clean and well-maintained.
  • Oversee the maintenance and servicing of buildings, grounds, and common property.
  • Ensure that all service and maintenance visits are properly recorded and documented.
  • Procure quotes from reputable service providers and obtain approval from scheme executives before proceeding with any work.
  • Ensure that payments to service providers are made only upon satisfactory completion of works.

Supervision and Administration:

  • Supervise contractors and ensure that all body corporate employees are present and carrying out their duties.
  • Maintain accurate records of all owners and tenants.
  • Send email and SMS communications to all owners/residents regarding important matters impacting the scheme.
  • Enforce the scheme's Conduct Rules and respond to complaints or concerns received from owners/residents.
  • Attend meetings of the board of the Scheme Executives and prepare agendas and compile minutes for such meetings.

Security and Compliance:

  • Ensure that security guards are performing duties as per the service level agreement held with the security company.
  • Ensure that security systems, including electric fencing, CCTV, and access control systems, are fully operational.
  • Liaise promptly with security guarding and systems providers as and when problems arise.
  • Coordinate submission of access and movement control forms for new residents, send new residents an information pack, and update communications databases and intercom systems accordingly.

Ideal Candidate:

The ideal candidate should be in their mid to late 30s, with a strong background in property management and a proven track record of success in a similar role. They should be male, have a strong understanding of sectional title management, and be able to build and maintain strong relationships with clients, contractors, and other stakeholders.
