Paralegal and Administrative Assistant

The function is responsible for providing professional, efficient, and effective legal and administrative assistance to the client Group Legal Department in South Africa.

Responsibilities:
  • Legal Documentation: Prepare first drafts of agreements and other legal documentation for review by the relevant manager(s).
  • Research: Conduct legal research to find applicable legislation, cases, and precedents.
  • Initial Opinions: Draft initial legal opinions.
  • Analysis and Reporting: Analyse the necessary information and draft a summary, opinion, report, or recommendation based on the information available.
  • Case Preparation: Assist in preparing cases for trial, gathering facts, and analysing legal positions.
  • Client Administration: The administration of client Group SAs company secretarial documentation.
  • Financial Management: Timeous and efficient management of the invoicing and payment process for the legal department to ensure cost effectiveness, efficiency, and control over budget.
  • Administration Support: Providing administration support by, inter alia, regularly preparing reports on litigation and external legal costs.
  • Reporting: Drafting and operational reports, administrating the work allocation.
  • IT Systems: Mastering all IT systems related to the day-to-day business of the Legal Department, including document management, case management, external counsel management systems.
  • General Administration: Ordering stationery, arranging local and international travel, administration, and other ad hoc duties as required from time to time.
  • Company Secretarial Duties: Assist Company Secretaries in company secretarial duties, viz filing and document retention, preparing minutes, agendas, board packs, managing calendars, and presentation/report submissions.
Requirements:
  • Bachelors Degree in LLB or Paralegal Qualification.
  • 7 years + proven working experience in a commercial law firm or in-house commercial legal department in a large and/or multinational corporate as a paralegal and administrative assistant.
  • Legal drafting skills.
  • Proven legal research skills, i.e., understanding the law and applying it in a given context.
  • Commitment to timeous delivery and according to mandate.
  • Ability to work independently with little supervision.
  • Consistent proactive team player with a strong work ethic who is committed to excellence.
  • High emotional intelligence and resilience.
  • Ability to be discreet and observes strict confidentiality.
  • Solid knowledge of Word, Excel, PowerPoint; knowledge of SAP SRM is advantageous.
  • Collaborative and positive attitude.
  • High attention to detail.
  • Transparent and communicative.
