Role Purpose

Ensure that all marketing collateral and work from stakeholder services flows efficiently and is managed effectively to creative and production departments in order to deliver on agreed upon timelines and budgets.
Requirements
- Project management qualification or similar
- 3-5 years’ experience as traffic manager/project manager
- Traffic management experience is crucial - as the person needs to understand the creative and production processes.
- Design experience to be able to review creative and provide input on briefs
Duties & Responsibilities
- Ensure compliance to studio process and lead time timings
- Create detailed priority daily schedules, weekly job overview and set deadlines for various stages of a project including reviews and check in
- Distribute assignments to creative teams and other external designers, depending on their availability and priorities.
- Meet with clients to learn more about new project briefs & details and give progress updates on existing projects, communicating any issues
- Monitor projects and workloads, adjusting assignments and deadlines accordingly
- Review creative and quality check that copy is aligned to brief with the Head of Studio/Creative/Art and the production department and adjust assignments as needed making sure that the appropriate talent is used and workloads are evenly maintained.
- Make adjustments to each job schedule and overall workload as job demands change.
- Make sure each staff member knows the assignments that they need to complete and the due dates. Acts as the mediator between all Account Service members (Internal Marketing, External Marketing, In-house Brand Experience, Production) to establish and re-evaluate priorities.
- Keep in contact with all departments regarding current deadline status and any issues that may need client or agency attention.
- Coordinate with suppliers on all outsourced requirements and the scheduling and delivery of those resources.
- Assign project numbers and issues project instruction sheets.
- Prepare production estimates together with the Finance & Ops Manager, based on briefings from clients and marketing managers.
- Ensure projects are completed on time, in full, and within budget.
- Keep the head of studio updated daily in traffic and the rest of the marketing team abreast of the status of all projects, by compiling daily, weekly and monthly status reports on stats of jobs per division, including risks, number reverts, incomplete briefs, lack of feedback, and recommend and institute mitigation plans.
- Put together a review system that will provide analytics on studio resourcing (what time is being spent on which projects, whether the studio process is followed etc.) to allow the Head of Studio and Head of Marketing to very easily and simply draw analytics ensuring studio optimisation and strong WOW between studio and the briefers.
