REQUIREMENTS:

- N6 (Secretarial) or Matric with a minimum of 3 years relevant experience
- Microsoft Word, Excel, PowerPoint & Outlook
- Driver license with own transport
- Time management is critical; it would be necessary to work long hours on weekdays and sometimes on weekends as well as public holidays
- Proficient in verbal and written communication

DUTIES:

- Prepare and manage correspondence, reports, and documents
- Organize and coordinate meetings and conferences
- Take, type, and distribute agendas and minutes of meetings
- Implement and maintain office systems
- Maintain schedules and calendars
- Daily updating and listing of tasks on the priority list
- Arrange and confirm appointments
- Organise internal and external events
- Handle incoming mail and other material
- Set up and maintain filing systems
- Collate information and maintain databases
- Communicate verbally and in writing to answer inquiries and provide information
- Management of cellphone and insurance information
- Liaison with internal and external clients
- Acquiring information on particular issues as per request from Managers
- Process and generate responses to standard correspondence in accordance with the Managers’ guidance to minimize their admin burden
- Answering the switchboard and routing calls, screening them aswell
- Helping with private tasks to relieve the workload
- Making national and international travel and accommodation arrangements when required
- Making private calls on behalf of Senior Managers/MD via cellphone and office phone. Once signed off by the MD, hand it to the AAA department
- Ordering stationery and filing
- Preparing accurate reconciliations and bill of worksheets
- Updating the Director's year planning sheets
- Assisting with incentives and confidential information from Managers
- Set up Excel sheets for Managers and assistance with PowerPoint presentations

OTHER:

- Market-related salary with medical aid and a mobile for business, no provident fund or 13th cheque benefits

- Potential growth to Senior Secretary or Senior Personal Assistant
