Trafalgar Birdhaven is looking for an experienced Administrator and receptionist to join their team at a well-established Estate on the West Rand. The person will be responsible for providing secretarial, clerical and administrative support in order to ensure that the Estate services are provided in an effective and efficient manner.

**Accountabilities**
- Answer all incoming calls and handle callers inquiries where possible
- Redirect calls as appropriate and take adequate messages when required
- Greet and assist /direct public and clients.
- Contribute to individual and team performance requirements
- Achieving 24hr turnaround time (deadlines) and maintaining world class service delivery with the 1st time right approach
- Cash Transactions of recycling bags, remotes & panic button batteries, etc.
- Post & circular distributions
- Purchasing of airtime for the landline
- Resident queries such as cell phone, iPad, laptop assistance etc.
- Booking of bus, cleaners, Gardener, Maintenance etc.
- Capturing all transactions on various spreadsheets
- Booking of Medical Assessments
- Notice Boards and frames at the lift updating
- Arranging monthly Welcome meeting
- Conducting Security clearance
- Registering staff on Access Track for access to the village
- Payment requisitions & petty cash capturing
- Loading new residents on the system and removing previous residents
- Arranging events for residents and making appointments on their behalf
- Sending of SMS's
- Distributing levy accounts
- Compiling suggestion box comments for Health and Wellbeing meeting
- Printing and cutting of Job Cards, Suggestion Box Card, cleaner and Gardener Schedules
- Logging Faults in fire panel, geysers and elevators
- Setting up hall for events, meetings and memorials
- Arranging Annual services of Pest Control, garage doors and solar systems.
- Logging faults on Landlines
- Assisting service providers with queries, printing and laminating
- Invoicing of cleaners

**Experience and knowledge required**
- Must have Sectional Title repairs and maintenance experience, (should know for ex. when it is for the owners or complex account)
- Experience working with elderly individuals
- Think on their feet and is proactive
- Be approachable and very helpful
