**Reception & Accounts Administrator**

**Scope**

**Responsibilities**

**1) Reception**:
a) Greet and welcome guests as soon as they arrive at the office.

b) Direct visitors to the appropriate person and office

c) Answer, screen and forward incoming phone calls

d) Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

f) Receive, sort and distribute deliveries.

g) Maintain office security by following safety procedures and controlling access via the reception desk.

h) Order front office supplies and keep stock of inventory.

i) Update calendars and schedule meetings

j) Arrange travel and accommodation.

k) Keep updated records of office expenses and costs.

l) Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.

m) Keeping attendance register up to date.

n) Helping with placing orders with suppliers within the business.

o) Ordering suppliers and dealing with suppliers

**2) Accounts**:
3) Process accounts and incoming payment from the customers.

4) Perform day to day financial transactions.

5) Posting and recording accounts receivable data.

8) Creditors, perform supplier reconciliation requisition of payment.

9) Reconcile purchase orders to invoices.

10) Ensure invoices are accurately captured on Navision on daily basis.

11) Load payment on the online banking system.

12) Provide monthly Creditors and debtors age analysis.

13) Load new Creditors on the online banking system.

14) Deal with queries from Creditors regarding payments.

**Requirements**:

- 1 years of experience in a similar role
- Ability to multitask efficiently while maintaining accuracy
- Proficiency in Microsoft Office Suite
- Exceptional customer service skills
- Professional attitude and demeanor

Ability to commute/relocate:

- Wynberg, Gauteng: Reliably commute or planning to relocate before starting work (preferred)

**Experience**:

- Administrative office procedures, practices and equipment: 1 year (preferred)
- Reception and Admin: 1 year (required)
