**Main Purpose of the Position**:
To manage supplier’s transactions from processing to payments

**Key Responsibility Areas**:

- Ensure invoices are matched against requisitions, purchase orders and goods received notes with reference to quantities, quality, description and price.
- Ensure requisitions, purchase orders and invoices are properly authorized and are in accordance with the appropriate levels of authority.
- Ensure invoices related to contracts agree to the contract.
- Ensure the correct GL account & vendor account is utilised when processing expense invoices.
- Ensure that the correct VAT is applied to invoices.
- Ensure monthly Accrued Purchase Receipt batches are posted daily and keep the Accrued list clean.
- Update the Cashbook when needed.
- Prepare and submit daily Cashbook reconciliations for payments.
- Preparation and submission of Weekly COD reconciliations for payment.
- Preparation and submission of Monthly Creditors’ reconciliations.
- Loading all reconciliations and supporting documentation on R-Drive for payment authorisation.
- Loading all payments on FNB bank.
- Timeous payment of invoices, ensuring discount claimed where applicable.
- Timeous follow up on all AP queries.
- Forward remittance advices to suppliers after completion of payment run.
- Allocation of all Payments on supplier accounts.
- File all invoices after payment run according to the agreed filing protocols.
- Prepare monthly Age analysis of the creditors list and load on R-Drive.
- Prepare monthly Accruals for expense accounts(Sundry suppliers).
- Create & maintain Supplier accounts.
- Manage and process Petty Cash transactions.
- Ensure audit deliverables are maintained according to the standard required by the auditors.
- Assist with month-end Stock take.
- Any ad-hoc duties which are assigned.

**Experience and competencies required**:

- Matric
- Financial Diploma or related certificate
- 2 - 3 years Accounts payable experience required
- Must be computer literate and experienced in Microsoft Office
