**JOB DESCRIPTION**
**SITE SUPERVISOR**

**General**
A good supervisor places a high priority on coaching employees. Good coaching involves working with employees to establish suitable goals, action plans and time lines. The supervisor delegates and also provides ongoing guidance and support to the employee as they complete their daily duties.
**As** **Mentor**
Usually the supervisor understands the Company and the employee's job/role better than the employee.
Consequently, the supervisor is in a unique position to give ongoing advice to the employee about their job and how it should be done. The employee can look to the supervisor as a model for direction and advice.
**Advocate for the Company**
Often, the supervisor is the first person to tell employees about new policies and programs from management.
It's not uncommon that employees are confused or frustrated by these new actions, and need further clarification and support from supervisors. In the rapidly changing world of today's organizations, it can be a major challenge to present new programs to employees without their being frustrated or even cynical. The supervisor must be enthusiastic, supportive of the Company’s position, authentic, and tactful.

**RESPONSIBILITIES/ DUTIES OF SUPERVISORS**

Before Reviewing Responsibilities/ Duties;
**Support of Human Resources Department**
Note that in our organization, although we have an HR Manager we are not large enough to have HR personnel on site to deliver/administer personnel policies and records, training and development, performance appraisals and performance problems, career counselling, organization development, etc. Our HR
Manager will provide this help but it will fall to the supervisor to ensure that all necessary documentation is completed on time and as per the SOP
**Personnel Policies and Procedures**
The supervisor is usually responsible to ensure that employees follow the organization's policies and procedures, e.g., for sick time, personal leave, overtime, confidentiality about organization information, etc.
Concurrently, the supervisor must follow policies and procedures for carrying out supervisory responsibilities.

**Employee Training and Development**
Supervisors ensure new employees are oriented to the site, its policies & Procedures, facilities, etc. They execute the training plans with employees to ensure employees are competent and have the necessary expertise to carry out their jobs. They provide ongoing guidance to employees, often in the forms of ongoing coaching and counselling.

**Employee Performance Management**
Supervisors ensure that job descriptions accurately record the primary responsibilities, and terms for each job role in their group. They set performance standards for tasks, jobs and roles of their employees. They ensure employees have appropriate and realistic job goals. They provide ongoing feedback about the employee's performance. They conduct performance appraisals on a regular basis, including assessing how the employee has performed and what they can do to improve in their jobs. IN conjunction with their manager they develop

performance improvement plans if an employee's performance is not adequate. In addition, supervisors provide positive feedback and recognition/rewards for employee accomplishments/ success.

**DUTIES**
To assist the site manager with administering and running the cleaning operations on site which includes:
- *Manage all cleaning staff on site
*Train all new staff and reassess training for all cleaners after every 6 months
*Manage, issue, dilute and verify concentrations of cleaning chemicals on site
*Conduct admin work on site
*Attend to client concerns and requests
*Ensure adequate chemicals and consumables are on site at all times
*Ensure cleaning is done as per the master Cleaning Schedule requirements
*Conduct daily cleaning inspections and provide corrective actions for any non-conformances noted
*Complete the staff attendance registers
Site supervisor to take full charge of the above responsibilities in the absence of the site manager on site. In addition to the above, the site supervisor may be assigned any other duties that will enable smooth operations on site
*Disciplinary procedures to be followed to manage staff e.g. issuing of counselling’s, first warnings, booking disciplinary hearings etc.

**TRAINING**
To enable the above duties to be conducted efficiently, training shall be conducted prior to commencement of duties as follows:
*Health and Safety
*Safe Working Practice
*Use of cleaning equipment and machinery on site
*How to clean items on site as per the cleaning procedures
*Chemical usage and dilutions
*Food Safety
*Root cause analysis and corrective actions
*Administration

In addition to the above, the site supervisor shall also go through any induction or training to be provided by the client.
