An exciting opportunity exists for a **Retail Operations Administrator **at **SPITZ** in Bryanston, Johannesburg. The purpose of the role is to administer, coordinate and run training for the Business Unit (BU) as per the annual training plan and the operational requirements.

**Line Manager**: Senior Retail Operations Administrator

**Job Specification**:
**Key Performance Areas**:
**Management of Payroll administration across all retail brands, including commission and incentive management, in particular the STAR STATUS programme.**
- Create and manage workflows. Ensure workflow reports are consistently managed and workflows are approved, rejected timeously
- Comparison report checking in order to approved CATS inputs
- CATS approvals to be done within the required time frame
- Check variance report and rectify all out of line issues prior to cut off
- Prepare and send out overtime and hours worked spreadsheets monthly for approval by RM’s
- Star Status spreadsheets updated monthly and sent to OPS executives for approval

**Management and compilation of retail operations monthly and quarterly reports, including store monthly budgets, for the Retail Management team**:

- Send store budgets to Operations Executive before the 20th of every month for finance to load on BI and SAP.
- Ensure that all incentive reports are submitted on time for approval
- Compiling accurate information and ensuring that reports are sent to the relevant stakeholders on time

**Store staff uniform management**:

- Ensure suppliers (uniform and name badges) accounts are up to date and that all quotes / invoices received are approved and signed off and sent to finance for payment
- Compile uniform spreadsheet and place orders with Marion Reed once approved

**General Administration and event co-ordination**:

- All flights and accommodation bookings are to be done as per request and timeously within the most cost effective bookings made. All cancellations and missed flights to be reported.
- Distribution of well written standing instruction letters
- Distribution of admin materials to stores on time and in the most cost effective manner
- Follow up on reports of materials / manuals not being received where necessary, and make arrangements to ensure the materials are received
- Excellent delivery of ad hoc projects with a project plan to support the delivery
- Booking of venue
- Arrange lunch if needed
- Booking of accommodation if needed
- Ensuring successful event through consistent follow up and liaising with the relevant stakeholders

**Provide support to stores**:

- Ensure all payroll queries are attended to and resolved timeously or escalated for resolution where necessary
- Coaching stores in order to ensure that payroll processes are clear

**Experience**:

- 3 to 5 years administrative experience

**Qualifications**:

- Matric/Grade 12/NQF4
- Relevant business/retail qualification
